Girl Scouts of Tropical Florida (GSTF) serves nearly 3,000 girls ages 5-17 across every zip code in Miami-Dade and the Florida Keys — building girls of courage, confidence, and character who make the world a better place. From the urban neighborhoods of Miami to the shores of the Keys, we deliver the Girl Scout Leadership Experience to young women who need it most. THE OPPORTUNITY

We're looking for a highly organized, mission-driven professional to serve as the operational backbone of our Service Center. If you thrive in a fast-paced environment, love wearing multiple hats, and are energized by meaningful work — this role is for you.

As our Office Administrator, you'll be the go-to person who keeps our office operational, the payroll running, the staff informed, and our camps supported — all while representing the values that have made Girl Scouts a trusted institution for over a century.


Requirements:

WHAT YOU'LL DO

Your responsibilities span five core areas:


Administration & Executive Support

  • Keep the Service Center running smoothly — mail, supplies, IT coordination, and office operations
  • Serve as the CEO's right hand: calendar management, meeting prep, expense reporting, and project follow-through
  • Support the Board of Directors: plan meetings, draft minutes, circulate materials, and lead logistics for the Annual Meeting
  • Maintain the GSTF Administrative Handbook in Microsoft OneNote

Finance, Payroll & Human Resources

  • Process bi-weekly payroll for all GSTF staff using Paylocity
  • Support accounts payable: invoice routing, vendor documentation, and approval workflows
  • Manage the full recruiting process in Paylocity — posting, tracking, coordinating pre-employment screenings
  • Onboard new team members and maintain employee files in compliance with GSTF HR policies
  • Process remote deposits into Grove Bank and reconcile with the Finance department

Retail & Inventory Management

  • Fulfill Council patch orders; manage inventory and reorder levels

Properties & Facilities

  • Supervise two Camp Rangers across GSTF properties
  • Coordinate routine camp and Service Center maintenance; support occasional facility improvement projects

Backup & As-Needed Support

  • Serve as backup for Development gift processing in Raiser's Edge NXT when the Asst. Director of Development is unavailable
  • Provide as-needed operational support for the Programs team during Summer Summit and Council events

WHAT WE'RE LOOKING FOR

Required

  • 5+ years of progressive administrative or operations experience
  • Demonstrated payroll experience (Paylocity strongly preferred)
  • Strong proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, OneNote)
  • Exceptional organizational skills with ability to manage competing priorities independently
  • Excellent written and verbal communication; Board-level correspondence experience a plus
  • Valid Florida driver's license and proof of vehicle insurance
  • Must pass background check and drug screening prior to employment

Preferred

  • Bachelor's degree in Business Administration, Nonprofit Management, or related field
  • Experience in a nonprofit, youth-serving, or mission-driven organization
  • Familiarity with Blackbaud Raiser's Edge NXT and/or Salesforce
  • Bilingual English/Spanish — strongly preferred given the communities we serve
  • Openness to learning emerging AI tools (e.g., Microsoft Copilot, Claude) — no experience required, just curiosity
