About the Job
Position Summary
The HSE Administrator provides administrative and coordination support to the Health, Safety & Environmental (HSE) team for a large-scale LNG EPC project. The role is responsible for maintaining HSE documentation, tracking training and compliance records, coordinating meetings and reporting activities, and supporting project-wide HSE initiatives to ensure compliance with company procedures, client requirements, and regulatory standards.
The ideal candidate will possess strong organizational skills, attention to detail, and the ability to work in a fast-paced, multicultural project environment.
Key Responsibilities
HSE Administration & Documentation
  • Maintain and control HSE documentation, records, logs, and databases in accordance with project document control procedures.
  • Assist in the preparation, formatting, distribution, and filing of HSE reports, presentations, procedures, and correspondence.
  • Track and maintain records for:
    • HSE inductions and training
    • Certifications and competency matrices
    • Incident reports and corrective actions
    • Audits and inspections
    • Safety statistics and KPI reports
  • Ensure all HSE records are current, accurate, and readily accessible for audits and client review.

Reporting & Data Management
  • Compile daily, weekly, and monthly HSE statistics and performance reports.
  • Maintain incident tracking systems and support follow-up actions.
  • Generate dashboards, charts, and spreadsheets to support HSE reporting requirements.
  • Assist with data entry and management within project management and HSE software systems.

Coordination & Communication
  • Coordinate HSE meetings, toolbox talks, safety campaigns, and training sessions.
  • Prepare meeting agendas, attendance sheets, and meeting minutes.
  • Interface with project personnel, subcontractors, and client representatives regarding HSE administrative requirements.
  • Support onboarding activities and HSE orientation scheduling for new personnel.

Compliance Support
  • Assist the HSE team in ensuring compliance with:
    • Project HSE Management Plans
    • Client standards and procedures
    • Local regulatory requirements
    • Company policies and procedures
  • Support internal and external HSE audits and inspections.

General Administrative Duties
  • Manage office supplies and PPE inventory records for the HSE department.
  • Coordinate travel, accommodation, and logistics for HSE personnel when required.
  • Maintain confidentiality of project and personnel information.
  • Perform other duties as assigned by the Site HSE Manager.

About You

Education
  • Diploma or Degree in Occupational Health & Safety, Business Administration, or related field preferred.

Experience
  • Minimum 3-5 years of administrative experience in HSE, construction, oil & gas, LNG, petrochemical, or EPC projects.
  • Previous experience supporting large-scale industrial or energy projects preferred.
  • Familiarity with LNG construction environments and contractor management processes is an advantage.

Skills & Competencies
  • Strong knowledge of HSE documentation and reporting processes.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Experience with document control systems and HSE management software preferred.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and within a multidisciplinary team environment.
  • High attention to detail and accuracy.
  • Ability to manage multiple priorities in a fast-paced project environment.

Preferred Certifications
  • OSHA 30, NEBOSH, or equivalent HSE certification preferred.
  • Training in document control or project administration is an advantage.
