Position Summary
Graduate Studies serves as the central academic administrative unit for graduate education at the University of New Mexico. We partner with academic departments and administrative units across campus to promote the quality of graduate programs, enhance student success, and ensure broad access to graduate education. We provide comprehensive student support services, including information on scholarships and fellowships, as well as program support for graduate programs university wide.
The successful candidate will have strong interpersonal and communication skills, and work experience reflecting a substantial history of successful customer service-related administrative employment. Those with demonstrated proficiency in MS Office applications, particularly Word and Excel, are strongly encouraged to apply. Experience providing event and/or travel planning services to professionals will be a definite plus. The ability to communicate and interact with a diverse cross-section of individuals calmly and professionally and articulate ideas in a clear and understandable manner is critical. The successful candidate will work closely with other staff supporting graduate students and be responsible for managing daily receptionist duties.
Key Responsibilities
  • Serve as the first point of contact for students, faculty, staff, and external visitors; provide professional and courteous customer service and direct inquiries to appropriate personnel
  • Manage incoming phone calls, voicemail, and departmental email accounts, responding to general inquiries related to admissions, advisement, scholarships and fellowships, level restrictions, and forms
  • Perform daily receptionist duties, ensuring efficient front office operations
  • Create, compose, and edit written communications in a clear, professional, and courteous manner
  • Collaborate with Graduate Studies staff to support services for graduate students and program operations

This position requires the ability to communicate clearly and interact with a diverse cross-section of individuals in a calm, professional, and respectful manner. The successful candidate will be a collaborative team member committed to supporting graduate student success and maintaining high standards of service.

  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.

Minimum Qualifications
High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Possess knowledge of the UNM campus, graduate programs, andwebsites.
  • Strong written and verbal communication skills. The abilityto operate effectively with a team.
  • Intermediate skill level with using the Microsoft OfficeSuite, including Excel, Word, and Outlook. Working knowledge of using Zoom or a similar meeting hosting platform.
  • Be dependable, professional, and can promote graduatestudent success.
  • Be customer-focused and committed to delivering a positivecustomer experience.
  • Knowledge working with OnBase.
