Office Manager

The Office Manager is a professional, hands-on role working across multiple departments to ensure seamless operations. This position will support and split the work week at two secure Darkhive locations in San Antonio, Texas.


Responsibilities:


Office Facilities

  • Welcome and direct facilities vendors (cleaners, maintenance, etc).  Ensure vendor performance, timeline, and service quality
  • Ensure compliance with workplace safety standards and complete monthly facility safety checks
  • Ensure office spaces are clean, functional, and well-maintained.  Report all issues and concerns
  • Main point of contact and coordination of on-site visitors
  • Support space planning and layout changes to support team growth and operational needs
  • Retrieve and audit monthly utilities statements


Administrative Coordination

  • Manage company information email inbox, directing emails accordingly
  • Check physical mail and redirect to appropriate co-workers
  • Maintain office supplies stock and complete purchasing
  • Own scheduling of professional virtual and in-person meetings
  • Support internal company on-site events
  • Other administrative tasks as needed


This is a non-exempt, hourly role reporting to the Chief of Staff. This role is on-site daily at Darkhive locations in San Antonio, Texas.


Qualifications You Bring:

  • 3+ years as an office manager, facility manager, restaurant manager or other equivalent experience is required
  • Excellent written and verbal communication
  • Ability to coordinate multiple projects and meet deadlines
  • Superb organizational skills and attention to detail
  • Willingness to jump in and assist with administrative tasks across all departments
  • Ability to take direction from multiple leaders
  • Use and knowledge of MS Office Suite including Word, PowerPoint, and basic Excel
  • Ability to learn new software
  • High School diploma or equivalent


Bonus Qualifications:

  • Associate's degree in communication, business, or applicable area of study
  • U.S. Military Veteran
