Our company is structured across 2 divisions - the Display Case Division, located in North Prairie, WI, Waukesha, WI, and Mukwonago, WI and the Refrigeration Systems Division, located in Ramsey, MN and Dyersville, IA.

What Will You Do?
Under the direction of the Corporate Total Rewards manager, the HR Assistant / Receptionist receives visitors, manages the switchboard, and provides administrative support to the Human Resources department. This position requires a high attention to detail and ability to multitask.
Essential Responsibilities:
  • General Administration:
    • Screens incoming phone calls and forwards to appropriate personnel or department. Serves as a back-up to the ZZR and ZZD Receptionist/HR Assistant phone calls as needed.
    • Retrieves messages from voicemail and forwards to appropriate personnel.
    • Delivers messages and incoming mail to appropriate personnel.
    • Answer questions about the organization and provides callers with address, directions, and other information.
    • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
    • Monitor visitor access and maintains daily Visitor Log
    • Prepare and sends outgoing mail and correspondence, including e-mail and faxes.
    • Maintain fax correspondence and assists user with fax/copy machines.
    • Maintain Outlook calendars for vacations, conference rooms, and company cars.
    • Monitor and maintain office and lunchroom supplies within appropriate budget.
    • Oversee vending and uniform services.
    • Perform other clerical duties as needed, which may include but are not limited to; photocopying, collating, and back-up for other clerical positions as required with cross- training being provided.
    • Assist team with scheduling meetings, interviews, events, etc.
    • Manage and assist with company functions to include meal orders, set- up and clean-up.
    • Occasionally makes reservations with local hotels for visitors
  • Human Resources:
    • Assist with recruiting process to include scheduling initial interview as well as onsite interview/tours.
    • Create online personnel folders and ensure accurate information is filed the appropriate folder.
    • Ensure new hire and benefit packets are prepared for orientation/enrollment meetings.
  • Other duties as assigned

Requirements for Effective Performance:
  • Associate degree (A.A.) or equivalent from a two-year college or technical school preferred, but not required.
  • 1-2 years human resource experience and/or one to three years of office administration related experience
  • Intermediate experience with Microsoft Office Suite

  • High level of professionalism and proven ability to handle confidential information with discretion.
  • Ability to converse knowledgeably with other employees, vendors and customers regarding information that is processed by this position.
  • Excellent interpersonal skills with the ability to communicate, both verbally and in writing, with multiple stakeholders internally and externally
  • Exceptional organizational skills: must be detail-oriented, highly organized, and provide excellent follow-up with all involved.
  • Proactive self-starter, confident in their ability to move work forward quickly and accurately with limited direction
  • Ability to meet deadlines in an environment which may contain distractions and interruptions

  • Maintain a positive work attitude. Zero Zone expects all employees to behave and communicate in a manner which will facilitate good relationships with customers, clients, co-workers, and supervisor.
  • Safety toe shoes and safety glasses are required while in production areas.
  • Regularly required to sit, stand, and walk throughout the office and production areas; have use of hands and fingers to use a computer, telephone, and other office equipment; reach with hands and arms; and talk or hear. The employee must occasionally lift and/or move up to 10 pounds.
