Description
The Accounts Administrator is responsible for the day-to-day accounting and administrative functions of the company. This position manages accounts payable, accounts receivable, payroll, banking transactions, financial reporting, and tax-related filings.
  • Process vendor invoices and maintain accurate Accounts Payable records.
  • Prepare and process vendor payments via checks and ACH.
  • Receive, record, and reconcile customer payments for Accounts Receivable.
  • Reconcile company bank accounts and maintain the petty cash account.
  • Process payroll and administer payroll deductions, including 401(k) withholdings.
  • Prepare and submit sales tax reports and corporation income tax deposits.
  • Prepare weekly reports on accounts payable, purchase orders, cash position, accounts receivable, and inventory.
  • Maintain organized accounting records, financial documentation, and filing systems.
  • Process utility bills and maintain supporting documentation.
  • Support month-end, year-end, and audit activities by providing required financial records.
  • Maintain confidentiality of financial, payroll, employee, and company information.
  • Ensure compliance with company policies and established accounting procedures.

Requirements
  • U.S. Citizenship or Permanent Resident status required.
  • Associate's degree in Accounting, Finance, Business Administration, or related field preferred; equivalent experience may be considered.
  • 3-5 years of accounting, bookkeeping, payroll, or finance administration experience preferred.
  • Experience with accounts payable, accounts receivable, payroll processing, bank reconciliations, and general ledger support.
  • Superior attention to detail required.
  • Superior writing, listening, and verbal communication skills.
  • Superior analytical and mathematical skills.
  • Superior knowledge of Microsoft Excel.
  • Proficient with accounting/ERP software.
  • Excellent time management with the ability to multitask and prioritize work.
  • Innovative, motivated individual with high standards and the ability to thrive in a fast-paced environment.
  • Proven organizational skills with mindfulness, and the ability to self-check, self-manage, prioritize initiatives, and work well in a team environment.
