Research Executive Assistant
Title: Research Executive Assistant - Clinical Research
Location: Michigan- Flint or Dearborn (On-site required)
Reports To: Chief Clinical Research Officer
Schedule: Full-time, Monday-Friday, with flexibility for research-related deadlines
Position Summary:
The Research Executive Assistant provides high-level administrative, operational, and project
coordination support to Insight Health System's Clinical Research leadership. This role requires hands-on
experience in clinical research/clinical Trials and a strong understanding of research workflows,
regulatory timelines, sponsor interactions, and site operations. The Research Executive Assistant
ensures seamless communication, efficient scheduling, and proactive support across a fast-paced
research environment.
Key Responsibilities:
โ€ข Manage complex calendars, meeting coordination, and travel arrangements for research leadership
โ€ข Prepare agendas, minutes, and follow-up action items for internal and external research meetings
โ€ข Draft, edit, and format correspondence, presentations, and reports related to clinical research
operations
โ€ข Maintain confidentiality and handle sensitive information with discretion
โ€ข Assist with research pipeline and study startup tasks such as feasibility coordination, document
collection, and meeting scheduling
โ€ข Support tracking of regulatory submissions, training logs, delegation logs, and study milestones
โ€ข Coordinate sponsor and CRO visits, including SIVs, IMVs, and closeout meetings
โ€ข Maintain organized filing systems for research documents, contracts, and communications
โ€ข Track deadlines, deliverables, and cross-functional tasks across multiple studies
โ€ข Support recruitment initiatives, community events, and research outreach activities
โ€ข Assist with invoice tracking, budget documentation, and vendor coordination
Minimum Qualifications:
โ€ข Minimum 2-3 years of administrative experience in clinical Trials (required)
โ€ข Strong understanding of Clinical Trials operations, regulatory processes, and sponsor interactions
โ€ข Exceptional organizational, communication, and multitasking skills
โ€ข Proficiency in Microsoft Office, CTMS platforms, and document management systems
โ€ข Ability to work independently, anticipate needs, and manage competing priorities
