General Function
The Administrative Assistant provides administrative support to program managers and supervisors and the department on moderately complex administrative duties as determined by the supervisor. The Administrative Assistant will assist staff with storing and retrieving information, will conduct administrative activities, may serve as the first point of contact for the department with students, faculty, staff, partners, and the public.
Description of Primary Duties
This position will be split between Community Focus program and Ozarks Public Health Institute general duties. It will include the following primary activities.
1. Provides administrative support to the program and department by providing reception services, scheduling appointments and meetings, coordinating travel, filing, maintaining organized digital file system, preparing and proofreading correspondence and reports, tracking inventory, and managing office supplies.
2. Creates digital and print communications and marketing materials as requested.
3. Implements and maintains a social media strategy for CF and OPHI.
4. Manages the intake and assignment process for student and faculty research projects.
5. Processes and recommends placement for students seeking GA positions, research projects, volunteer work, or internships.
6. Reviews and verifies student time records.
7. Keeps projects organized and on schedule to ensure deliverables are met on time.
8. Assists with internal communication and occasional community-facing tasks.
9. Generates reports as requested.
10. Performs other duties as assigned.
Minimum Acceptable Qualifications
An Associate's degree or a high school diploma or equivalent and two years of office experience is required.
Proficiency with Microsoft Office Suite (Word, Excel and PowerPoint) is required.
Familiarity with professional use of Facebook, Instagram, and LinkedIn is required.
Experience with design platforms such as Canva or similar programs is required.
Excellent written and verbal communication skills.
Creative, enthusiastic, friendly, strong team player.
Self-starter who takes initiative, asks thoughtful questions, and enjoys learning.
Strong attention to detail and excellent time management skills.
Marketing and communications skills.
Experience organizing volunteer groups or supporting community projects.
Additional Qualifications
Special Instructions to Applicants
This is a grant-funded position through December 2027. Continuation is dependent on additional funding.
This is a part time position at 20 hours a week. Hours will typically fall between 8:00 a.m. and 4:00 p.m., Monday through Friday, with some flexibility and will be determined upon hiring.
