Job description

We are a Southern California real estate investment and property management firm seeking a bilingual Administrative Assistant / Property Management Assistant to support our Property Manager and assist with the day-to-day operations of our portfolio.

This is a full-time, in-office position in Los Angeles and is ideal for someone who is organized, dependable, professional, and interested in building a long-term career in property management. The ideal candidate is fluent in both English and Spanish, comfortable communicating with tenants and vendors, detail-oriented with administrative tasks, and preferably has experience with Rent Manager or similar property management software.

Key Responsibilities

  • Answer and route incoming phone calls in a professional and courteous manner
  • Communicate with tenants, vendors, and residents in both English and Spanish
  • Assist with rent entry, lease data entry, and maintaining accurate tenant records
  • Take maintenance calls and create work orders
  • Collect, scan, upload, and organize lease files, notices, insurance certificates, and tenant correspondence
  • Maintain rent rolls, tenant contact lists, and unit/suite availability trackers
  • Support the Property Manager with administrative and operational tasks
  • Enter and update information in property management software, preferably Rent Manager
  • Help track leases, notices, tenant communications, and property files
  • Schedule appointments, inspections, vendor meetings, and property visits
  • Assist with general office duties and follow-up tasks
  • Provide support with basic property management coordination as needed

Qualifications

  • Fluent in English and Spanish, both written and spoken
  • 1–3 years of administrative, office, receptionist, or property management support experience
  • Prior experience in property management, real estate, construction, or a related field preferred
  • Experience with Rent Manager preferred; experience with Yardi, AppFolio, or similar software is a plus
  • Comfortable with Microsoft Outlook, Excel, Word, and PDF/document management
  • Experience handling tenant calls, collections calls, or maintenance coordination is a plus
  • Experience with data entry and recordkeeping in a fast-paced office
  • Strong organizational skills and attention to detail
  • Professional phone manner and strong communication skills
  • Ability to multitask and work well in a team environment
