Order Processing Specialist - Fully Remote
Work From Home 4-Day Workweek 10-Hour Shifts
Are you highly organized, detail-oriented, and someone who enjoys keeping things moving behind the scenes? Certco is looking for an Order Processing Specialist to join our Warehouse team in a fully remote position.
In this role, you will play an important part in making sure our customers receive what they need, when they need it. You'll process and coordinate customer orders while working closely with our customers, transportation team, procurement team, warehouse, carriers, and vendors. This is a great opportunity for someone who enjoys variety, problem-solving, communication, and working independently.
This is a fully remote position; however, we are ideally looking for someone who lives within a reasonable commuting distance of our Madison, WI facility. In-person training will be required, and occasional onsite visits may be needed as business needs arise.
What You'll Do
  • Process customer orders for Woodman's and conventional customers
  • Allocate orders for buyers and release orders for warehouse picking
  • Communicate with customers regarding order needs and updates
  • Complete invoicing throughout the day
  • Monitor cross-dock and debit orders to ensure accuracy
  • Coordinate with IT to resolve order processing and invoicing issues
  • Process special orders, food show samples, and special events
  • Ensure special orders are ready to be released in the quantities requested
  • Schedule receiving appointments with trucking companies and brokers
  • Communicate with Procurement regarding purchase orders and updates
  • Follow up with carriers and brokers regarding missed or delayed deliveries
  • Help ensure inbound product is received before customer orders are released
  • Maintain processing and invoicing documents and procedures
  • Provide weekend order-processing coverage when needed for vacations or sick days

Schedule
Four 10-hour shifts per week (Wednesday - Saturday)
This position requires a 5:00 AM start time to support the operating schedules of our warehouses. Shift length may vary depending on workload, and occasional daily overtime may be required. Weekend coverage may also be needed on an as-needed basis.

Wednesday - Saturday (4 -10 Hour shifts)
NOTE: Prompt attendance of 5:00 AM start time for processing is required due to the start times of the warehouses. Shift length may vary based on workload and daily overtime may be required.
Job Summary:
Provide support to all of Certco's customers by processing and coordinating store orders for daily operations. Coordinate and act as liaison between transportation, procurement, and the warehouse to ensure customer and vendor needs are met.
Essential Duties and Responsibilities
Order Processing tasks:
  • Order Processing for Woodman's and Conventional orders.
  • Allocating orders for buyers and manage releasing orders for picking.
  • Communicate with customers about order needs.
  • Invoicing throughout the day.
  • Help with coverage of weekend order processing for vacations or sick days.
  • Constant updating of processing/invoicing documents for weekly use.
  • Monitor the Cross-dock and Debit orders in NAV to make sure the clerks are completing them correctly.
  • Work with IT to order batch orders and invoicing issues.
  • In addition, release orders for special events, food show samples, modify processing master copies as routes are added to the delivery schedule.
  • Ensure special orders are ready to release in full quantity as customers is requesting. (i.e., Bread orders, etc.)

Appointment scheduling tasks
  • Schedule appointments for Femrite and Verona receiving shifts. Done by emails from trucking companies and brokers.
  • Communicate with the procurement team for PO# questions and updates.
  • Follow up with carriers/brokers on NCNS trucks.
  • Ensuring inbound receiving affecting orders are scheduled and received before releasing orders.

Knowledge, Skills, and Abilities
  • Strong interpersonal and communication skills.
  • Ability to pay close attention to detail and coordinate various activities simultaneously.
  • Ability to communicate with customers, co-workers and business contacts in a courteous and professional manner.
  • Ability to work with minimal supervision.
  • Ability to gather data, compile information, and prepare findings
  • Knowledge of warehouse shipping clerk duties.

Education and Experience
High school graduate or equivalent and excellent math skills.
