Our client is a U.S.-based, AI-powered company transforming how legal work gets done — making it faster, smarter, and more accessible. Built by experienced operators and powered by a globally distributed team, the company is scaling quickly with a strong emphasis on execution, ownership, and high performance.

We’re hiring an exceptional Executive Assistant to act as the dedicated right hand to the CEO, supporting a high-intensity founder operating across multiple countries and time zones.

This is a high-bar, operator-level role — not a traditional EA position. We’re specifically looking for someone who has already served as the sole Executive Assistant to a CEO or founder in a fast-moving startup environment, with full ownership over their day-to-day operations.

You will be responsible for fully owning the CEO’s world — including calendar, inbox, communications, and complex international travel — ensuring everything runs seamlessly and enabling the executive to operate at maximum effectiveness.

Your Role

This is not a generalist EA role.

We’re looking for someone who has already operated as the sole Executive Assistant to a CEO or founder in a fast-paced environment, with full ownership over calendar, inbox, travel, and communications.

You will function as a force multiplier at the highest level, working alongside AI systems and operating with speed, precision, and full accountability.

You’ll:
  • Fully own and manage the CEO’s calendar and inbox

    • Prioritize, draft, and send communications on their behalf

  • Coordinate high-volume scheduling across multiple time zones with constant changes

  • Plan and execute complex international travel

    • Multi-country, multi-person (including team coordination)

  • Prepare briefings, summaries, and research ahead of meetings and decisions

  • Build and maintain systems in Notion as a core operating tool

  • Use AI tools to synthesize information, automate workflows, and improve efficiency

  • Track priorities, follow-ups, and commitments across all channels

  • Proactively identify and implement improvements to workflows and systems

You Bring:
  • 3+ years of direct experience as the sole EA to a CEO or founder

    • You have fully owned their calendar, inbox, travel, and communications

  • Experience in a startup or fast-moving tech environment

    • You are comfortable with speed, ambiguity, and constant change

  • Advanced Notion proficiency

    • You use Notion daily to manage workflows, information, and operations

  • Strong AI literacy

    • You actively use AI for research, summarization, automation, and operational support

  • Proven experience managing complex international travel logistics

    • Multi-country, multi-person coordination

  • Near-native or C2-level English

    • You can write and communicate on behalf of a CEO in high-stakes context
