Job description

The role:

The Onboarding Coordinator's contribution to the team members' experience is one of the most important and critical components to be successful. You will help us build an impactful and amazing employee experience from onboarding, training, feedback, and career development.

Time management, outstanding communication skills, and workflow coordination are key for this role, in order to support the progress of different projects, connecting with team members of all layers of the organization.

Responsibilities:Employee Onboarding & Engagement
  • Onboarding Experience: Welcome new employees and lead their integration into the company, ensuring they feel supported, informed, and valued from Day 1.
  • Orientation Leadership: Facilitate orientation meetings and partner with managers to ensure all onboarding checklists and paperwork are completed accurately.
  • HRIS Management: Act as the primary owner for new hire data entry within Rippling, ensuring all profiles are set up correctly for payroll and benefits.
  • Engagement & Culture: Partner with the People Experience team to execute on-site culture events, team-building activities, and internal engagement initiatives.
Administrative & Operational Support
  • Compliance & Auditing: Maintain and audit digital employee files to ensure 100% compliance with labor laws and internal company policies.
  • Cross-Functional Alignment: Partner with the Office Manager and People Experience team to ensure administrative consistency across company-wide initiatives.
  • Company Swag: Own the end-to-end merchandise process, including ordering, inventory management, and distribution for new hires and milestones.
Recruitment & Talent Acquisition
  • Screening & Vetting: Support the talent pipeline by conducting initial phone screenings to evaluate candidate qualifications and culture alignment.
  • Interviewing: Participate in or lead first-round interviews, providing a professional and welcoming representation of the brand.
  • Candidate Experience: Manage the "white-glove" candidate journey, including high-volume interview scheduling and timely communication/follow-ups.
  • Sourcing Support: Assist in posting job descriptions and sourcing potential candidates through various recruiting platforms.

Must Have:
  • 2+ years of previous administrative or project management experience in a startup environment.
  • Bilingual Proficiency: Fluency in both Spanish and English (written and verbal).
  • Strong time management skills, ability to function effectively in a fast-paced environment
  • Excellent oral and written communication skills
  • High-energy, self-starter who has the initiative to function autonomously, anticipate needs, and prioritize responsibilities
  • Proven ability to work well in a team environment
  • Must be proficient with computer systems
