The Labor Market Information (LMI) Operations Coordinator will report directly to the State LMI Director. This position will serve as the central administrative, compliance, and operational engine for the division. The LMI Operations Coordinator manages day-to-day divisional workflows, coordinates procurement for specialized economic software, and tracks critical data sharing and confidentiality agreements; acts as a trusted extension of the Director, the Coordinator; reviews documents, manages meeting intelligence tools, coordinates travel logistics, and serves as the primary fiscal and administrative liaison to ensure the LMI team operates seamlessly and remains compliant with federal and state guidelines.

This position is available for remote work on a full-time basis within Arizona (including virtual office arrangements).

Job Duties:

โ€ข Programmatic Reporting & Release Coordination: Serves as the primary point of contact for external workforce partners and training providers; coordinates and executes the delivery of mandated monthly economic reports and annual workforce training evaluations; and maintains the division\'s Master Publication Release Calendar to ensure the LMI website and distribution lists.
โ€ข Data Compliance, Grants & Contract Tracking: Acts as the administrative liaison to the agency finance team, monitoring budget reports to identify surpluses or shortfalls across various federal grants; tracks and maintains the division\'s Data Sharing Agreements (DSAs) and MOUs with external agencies, proactively monitoring expiration dates to prevent lapses in vital data feeds; and manages the filing, tracking, and annual renewal of BLS Confidentiality Agreements.
โ€ข Operations, Procurement & Travel Logistics: Coordinates the procurement and annual renewal of specialized LMI tools and software licenses (e.g., Lightcast, Chmura, ESRI, SAS); manages equipment purchases, hardware tracking, and supply needs for the division; handles complex travel coordination, including out-of-state travel authorizations and expense reimbursements for staff attending national conferences (e.g., C2ER, NASWA, BLS training).
โ€ข Executive Support & Digital Workflow Management: Provides high-level administrative support to the Director and Division Leads, including building meeting agendas and reviewing/signing routine operational documents on the Directorโ€™s behalf; and manages meeting intelligence workflows, including processing meeting transcripts and configuring/utilizing AI tools (Google Gemini Gems) to summarize action items and maintain team momentum.
โ€ข Personnel Support & Onboarding Coordinator: Serves as the New Employee Onboarding Coordinator, ensuring new hires have equipment, credentials, and access on day one; tracks and coordinates mandatory state and federal training requirements for all staff; and assists with recruitment workflows as needed, including updating position descriptions (PDs) and coordinating interview schedules.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
โ€ข General office operations and executive support practices;
โ€ข Basic understanding of procurement processes and asset tracking;
โ€ข Familiarity with tracking sensitive legal or data agreements (DSAs/MOUs).
Skills in:
โ€ข Microsoft Office/Google Workspace (specifically Excel/Sheets for basic budget and data tracking);
โ€ข Utilizing modern digital workplace tools (e.g., AI assistants like Google Gemini, transcript tools, shared digital drives).
Ability to:
โ€ข Prioritize expiration dates and deadlines;
โ€ข Act with high discretion when reviewing timesheets or handling confidentiality agreements;
โ€ข Communicate professionally with both internal finance teams and external workforce partners.

Selective Preference(s):

โ€ข 2+ years of experience in program coordination, office management, executive administrative support, or contract/compliance trackingโ€”preferably within a public sector, government, or data-driven environment.

Pre-Employment Requirements:

โ€ข Associateโ€™s degree in Business Administration, Office Management, Public Administration, or a closely related field; OR an equivalent combination of education and progressive professional experience (e.g., a High School Diploma/GED plus 4 years of high-level administrative experience).
