Position Overview: We are seeking a detail-oriented and client-focused Implementation Coordinator to support the administration of online benefits portals for employee benefits clients. This role is responsible for building and maintaining enrollment portals, updating plan information, supporting open enrollment launches, and troubleshooting system-related issues. The ideal candidate is organized, tech-savvy, and comfortable working with benefits administration platforms such as Employee Navigator, Ease, and Rippling. This position plays a key role in supporting accurate portal setup, improving the client enrollment experience, and ensuring employee benefits information is accessible and up to date.
Work Arrangement: This is a temporary, remote position that supports our office in Newport Beach, CA.
Professional Responsibilities:
  • Collaborate with Account Managers to gather client information, plan details, rates, documents, and other data required to build and maintain online benefits portals.
  • Build, update, and maintain benefits administration portals, including Employee Navigator, Ease, Rippling, and similar platforms.
  • Configure carrier, vendor, and payroll integrations to support accurate enrollment, eligibility, and benefits administration processes.
  • Update portals for annual renewals and open enrollment, ensuring plan information, rates, documents, and enrollment workflows are accurate.
  • Create benefit guides and related employee materials that outline plan options, enrollment instructions, and helpful insurance information.
  • Troubleshoot portal-related issues, respond to system inquiries, and provide timely support to clients and internal team members.
  • Assist with general ACA reporting and related system activity.
  • Build annual plan libraries to ensure current benefit information is organized and accessible.
  • Prepare compliance documents and upload required materials to client portals.
  • Create application packets and enrollment materials for clients who use offline enrollment processes.
  • Maintain accurate documentation and protect confidential client and employee information.
  • Stay informed on benefits administration technology, employee benefits trends, compliance requirements, and industry best practices.

Qualifications and Requirements:
  • 1+ year of experience in technical support, administrative support, benefits administration, or a related function required.
  • Previous experience working with employee benefits software required.
  • High school diploma or GED required; Bachelor's degree in Business Administration, Information Technology, or a related field preferred.
  • Experience in the employee benefits industry preferred.
  • Experience with Employee Navigator, Ease, Rippling, or similar benefits administration platforms preferred.
  • California Life & Health insurance license preferred.
  • Strong technical aptitude with the ability to learn and navigate multiple software platforms.
  • Excellent written and verbal communication skills with the ability to provide clear, professional support.
  • Strong organizational skills with the ability to prioritize tasks, manage deadlines, and maintain accurate records.
  • High attention to detail when entering data, reviewing documents, and configuring benefit plan information.
  • Strong client service mindset with the ability to respond empathetically and proactively to client needs.
  • Ability to collaborate effectively with Account Managers, clients, carriers, vendors, and internal team members.
  • Proficiency with Microsoft Office Suite, CRM systems, and other client management or communication tools.
  • Commitment to maintaining confidentiality, ethical standards, and continued professional development.

Pay Range: $18 - $19 per hour depending on experience.
A wide salary range is posted for this position and any job offer is based upon a salary analysis to comply with the required state pay transparency law. The salary analysis considers relevant experience, education, certifications, and seniority as compared to others doing substantially similar work. There is no guarantee an offer will be at the top of the posted range based on the salary analysis.
