About Us:
Pacific Northwest Fertility & IVF Specialists is a state-of-the-art clinic offering a wide range of fertility treatments, from basic care to the most advanced reproductive technologies. We provide compassionate, patient-centered care, supporting individuals and families through every step of their fertility journey.
Job Summary:
This Patient Care Coordinator (PCC) position is fully remote, allowing you to work from your own private, HIPAA-compliant workspace free from noise and distractions. The role is full-time, non-exempt, with scheduled hours Monday-Friday from 9 AM to 5:30 PM Pacific Time and occasional weekend coverage. Please note, training schedule may vary.
You will be the primary point of contact via phone, managing scheduling, triaging patient calls, updating demographics, confirming appointments, preparing medical records and billing paperwork, and educating patients on using the Patient Portal ahead of their appointments.
Essential Functions:
  • Manage multiple phone lines remotely; triage calls; schedule appointments; take messages; perform new patient intake, follow-up, and reminder calls
  • Register new patients, accurately collect and enter demographic, financial, insurance, and clinical data in a secure remote environment
  • Schedule and coordinate all patient appointments and procedures in eIVF
  • Assist patients remotely with navigating and troubleshooting the Patient Portal and Telemedicine consultations
  • Maintain and coordinate providers' schedules accurately
  • Act as liaison between physicians, clinical teams, and other practices to facilitate information flow and expedite patient visits
  • Work closely with billing to collect co-pays, appointment payments, and manage account balances
  • Perform clerical duties such as chart preparation, scanning, faxing, and processing outgoing medical records requests
  • Assist team members remotely with communication equipment issues such as voicemail setup and headset configuration
  • Uphold patient confidentiality, demonstrate constructive communication, practice teamwork, and promptly escalate concerns to supervisors
  • Perform other duties as assigned

Education & Experience:
  • High school diploma required
  • Minimum 1+ year reception or customer service experience in a similar remote or in-person role

Preferred Qualifications:
  • Experience working in fertility, reproductive health, or related healthcare fields
  • Familiarity with infertility treatments, terminology, and patient concerns
  • Previous use of fertility-focused EMR systems like eIVF or similar platforms
  • Ability to communicate complex medical information compassionately and clearly to patients navigating fertility care

Requirements:
  • High computer literacy, including Microsoft Office proficiency
  • Ability to manage a high volume of phone calls and patient interactions professionally in a remote setting
  • Strong organizational skills with ability to plan, prioritize, and complete delegated tasks efficiently

  • Professional, pleasant demeanor in a fast-paced environment
