Role

This position drives Embodied Marketing's premium client acquisition by securing strategic podcast and stage placements for the CEO, booking high-quality guests for the CEO's own podcast, converting inbound interest from our existing audience into qualified sales conversations and offer enrollments, and managing high-touch experiences for top prospects and clients including in-person studio meetings and physical gifting/package campaigns. This role owns the full visibility and inbound conversion ecosystem for the brand.

Responsibilities

CEO Podcast Tour & Speaking (Outbound Visibility)

  • Research and identify 20+ qualified podcasts and stages per month with audiences of $500K-$10M business owners, course creators, agency owners, and ecommerce founders
  • Write and send 15-25 customized pitches per week with angles tailored to each show's audience and host
  • Manage the full booking pipeline from initial pitch to confirmed recording date including scheduling, prep materials, and host coordination
  • Maintain the master placement tracker with pitch sent, response, booking status, recording date, air date, and downstream conversion data
  • Identify and apply to relevant speaking opportunities including industry conferences, masterminds, and live events
  • Prepare CEO talking points, audience research, and host backgrounder before every recording
  • Set up custom landing pages and tracking for each podcast appearance to measure attribution
  • Track downstream attribution from each placement (leads generated, applications, sales) and report on ROI by show
  • Build and maintain relationships with podcast hosts, producers, and event organizers for repeat placements and referrals

CEO Podcast Guest Booking (Inbound Audience Growth)

  • Source and book 2-3 high-quality guests per month for the CEO's podcast
  • Target a mix of peer-level operators (60%), subject matter experts (30%), and aspirational figures (10%) based on ICP audience match
  • Leverage outbound podcast relationships to negotiate podcast swaps where the CEO appears on the guest's show in return
  • Coordinate guest scheduling, recording logistics, prep materials, and post-recording promotion
  • Manage in-person guest experiences when guests fly to Austin to record at the studio including travel coordination and hospitality
  • Identify guests who may be candidates for VIP Day clients, referral partners, or strategic relationships beyond the podcast

  • Route Elite/VIP candidates to the CEO or sales process with full context and pre-qualification notes

  • Manage email follow-up sequences for inbound leads who don't convert immediately
  • Capture every inbound conversation in the CRM with source, qualification notes, and next steps
  • Track and report on inbound DM volume, conversion rates, and revenue attribution by source

High-Touch Client Experience & Physical Gifting

  • Coordinate physical packages and gifting campaigns for high-profile prospects, Elite/VIP clients, and key relationships
  • Source, design, and assemble branded gifting kits with the CEO's input on contents and presentation
  • Manage shipping logistics, tracking, and follow-up for all packages sent
  • Coordinate in-person meetings at the Austin office including high-profile prospect visits, VIP Day clients, podcast guests, and key referral partners
  • Prepare the office and meeting agenda for visitors including travel coordination, dining recommendations, and personalized touches
  • Maintain a relationship management calendar for follow-up gifts, anniversaries, and milestone moments with top clients
  • Track ROI on gifting campaigns including downstream conversion to sales, referrals, or testimonials

Pipeline & Reporting

  • Maintain a real-time pipeline view of all qualified Elite/VIP conversations in flight
  • Provide weekly reports to the CEO on placements booked, placements aired, leads generated, applications received, and revenue attributed
  • Identify which podcast placements and which inbound channels produce the highest-quality leads and concentrate effort accordingly
  • Coordinate with the marketing team to amplify each podcast placement across email, social, and content channels

Results

  • CEO is consistently placed on 2-3 high-quality strategic podcasts and stages per month within 90 days of starting
  • Inbound DMs from social media and webinar funnels are responded to within 4 business hours, every time

Requirements

  • 3+ years experience in PR, podcast booking, sales, or business development for service-based businesses or personal brands
  • Demonstrated track record of successful podcast placements with show audiences of 10K+ listeners, ideally placing executives or founders
  • 2+ years of inbound sales experience with proven DM/email conversion in a high-ticket service or coaching environment
  • Exceptional written communication - must be able to write pitches, sales DMs, and follow-ups that sound authentic and persuasive
  • Strong working knowledge of the agency, course creator, coaching, or marketing services industry
  • Comfortable with high-ticket sales conversations ($5K-$15K offers) and able to qualify leads quickly without the CEO's involvement
  • Experience coordinating physical gifting, branded experiences, or high-touch hospitality is a strong plus
  • Proficient with CRM tools, Asana, Google Drive, and Slack
  • Self-directed and proactive - does not require management on routine tasks and brings solutions to problems, not just questions
  • Highly organized with the ability to manage 50+ active conversations and pitch threads simultaneously without dropping anything
