Job description

This is a remote position.

We’re looking to hire a Remote Medical Office Assistant who can provide day-to-day administrative support to healthcare teams and help ensure smooth and efficient office operations. Candidates applying for the role should be highly organized and comfortable managing multiple administrative tasks, patient requests, records, and communications at the same time.

Experience with medical office administration, patient services, scheduling, healthcare customer service, or administrative support is highly valued. Candidates should have excellent communication and computer skills and understand the importance of accuracy, professionalism, confidentiality, and compassionate patient service.

Ideally, the candidate should be able to coordinate appointments, maintain patient records, respond to routine inquiries, prepare documentation, and communicate effectively with patients and healthcare staff. The candidate should contribute to efficient healthcare operations by providing reliable administrative support in a remote environment.

Responsibilities
  • Provide day-to-day administrative support to healthcare providers and office teams.
  • Schedule and coordinate patient appointments, calls, and follow-up activities.
  • Respond to routine patient inquiries by phone, email, and other approved communication channels.
  • Maintain and update patient information in electronic health records and other systems.
  • Prepare, organize, scan, file, and retrieve medical and administrative documents.
  • Assist with referrals, authorizations, forms, and other routine healthcare documentation.
  • Verify patient information and assist with insurance or demographic updates.
  • Coordinate communication between patients, providers, and internal departments.
  • Track outstanding requests, appointments, forms, and follow-up activities.
  • Prepare reports, correspondence, spreadsheets, and other administrative materials.
  • Maintain patient confidentiality and follow applicable privacy and security procedures.
  • Assist with general office and administrative projects as assigned.


Requirements
  • Proven work experience as a Medical Office Assistant, Medical Administrative Assistant, Healthcare Administrative Assistant, Patient Services Representative, or similar role.
  • Experience working in a medical office, healthcare, patient-services, or administrative environment.
  • Excellent written and verbal communication skills.
  • Strong computer skills, including Microsoft Office, Google Workspace, or comparable software.
  • Experience with EHR, EMR, scheduling, CRM, or practice-management systems is preferred.
  • Strong organizational and time-management skills.
  • Ability to manage multiple tasks, appointments, requests, and deadlines.
  • Strong attention to detail and accurate recordkeeping skills.
  • Professional, courteous, and patient-focused communication style.
  • Strong problem-solving and follow-up skills.
  • Ability to work independently and collaborate effectively with healthcare teams.
  • Ability to maintain confidentiality and appropriately handle protected health information.
  • Knowledge of medical terminology and healthcare administrative procedures is preferred.
  • High school diploma or equivalent required; associate’s degree or relevant healthcare administration training is preferred.
