Porter Scott is seeking an experienced Legal Secretary to support assigned attorneys and partners in a fast-paced litigation environment. This position plays a critical role in ensuring the efficient operation of legal matters by managing complex calendars, preparing and filing legal documents, maintaining organized case files, and serving as a key point of contact for clients, courts, and legal professionals.

The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities while maintaining a high level of accuracy and professionalism.

Essential Responsibilities

Manage attorney calendars, including scheduling meetings, depositions, mediations, hearings, client conferences, remote appearances, and travel arrangements.

Coordinate scheduling with clients, opposing counsel, court reporters, interpreters, expert witnesses, and other third parties.

Monitor and calendar court deadlines, hearings, appearances, filing dates, and statutory limitations to ensure compliance.

Prepare, edit, format, proofread, finalize, and file legal documents, including pleadings, motions, briefs, correspondence, agreements, memoranda, court forms, proofs of service, and other litigation-related materials.

Compile and organize multi-document filings and ensure compliance with state and federal court rules, local rules, formatting requirements, and filing procedures.

Handle electronic filing and service through state and federal court systems.

Maintain organized electronic case files within NetDocuments, ensuring documents are accurately labeled, saved, and accessible.

Maintain and update case flowsheets and monitor court dockets for new or missing filings.

Serve as a primary point of contact for clients, court personnel, vendors, and legal professionals, handling incoming and outgoing communications professionally and efficiently.

Coordinate logistics for meetings, depositions, mediations, trials, and travel, including conference room reservations, meal coordination, and travel arrangements.

Route billing statements, invoices, and related documents for timely processing.

When assigned to a partner, assist with new matter intake, file opening, expense processing, matter setup, and coordination with calendaring and billing departments.

Perform additional administrative and legal support duties as assigned.

Qualifications

Minimum of 2 years of legal secretarial experience, preferably within a civil litigation environment.

Strong knowledge of California state and federal court filing procedures, court rules, and calendaring requirements.

Exceptional organizational and time-management skills with the ability to prioritize competing deadlines and manage multiple matters simultaneously.

Proficiency in Microsoft Office Suite, Adobe Acrobat, NetDocuments, DocuSign, and virtual meeting platforms.

Excellent written and verbal communication skills.

Strong attention to detail and commitment to producing accurate, high-quality work.

Ability to maintain confidentiality and exercise sound judgment.

Demonstrated ability to work collaboratively in a team-oriented environment while also working independently.
