Togethering launched in 2024 to support mixed-heritage Jewish couples in the early stages of their committed relationships as they explore how Jewish wisdom, practices, and stories can add meaning to the lives they're building - on their own terms and in their own time. We do this through immersive, awe-inspiring travel, authentic personal exploration, and ongoing opportunities to build community with other couples.
About the Position
Togethering's approach to immersive travel is grounded in a philosophy of radical hospitality. Togethering is seeking a detail-oriented, process-driven, and mission-aligned Applicant Experience Coordinator to support the day-to-day application process across national application cycles.
This role supports the curation critical to building high-impact, mission-aligned cohorts - ensuring consistency, equity, and scalability as Togethering grows its operations and impact. You'll be an integral member of the Cohort SelectionTeam and will work to continuously strengthen the selection process and ensure a high-touch, values-aligned experience for every applicant.
Key Responsibilities
Applicant Communication & Experience
  • Manage applicant and application-related communication across email, phone, and text, responding to inquiries and supporting applicants throughout the application cycle.
  • Oversee and execute applicant communications, including application status, using various platforms.

Application Cycle Operations
  • In partnership with the Senior Manager, Cohort Strategy, use Asana to manage the application cycle, ensuring that tasks, timelines, dependencies, and follow-ups are clear and up to date.
  • Provide ongoing administrative support as it relates directly to applicants and application cycles, including pulling reports, maintaining dashboards, tracking application pace, and sharing updates with relevant team members.
  • Create, organize, and maintain application cycle documents, trackers, and spreadsheets in Google Drive.

Application Review, Selection & Referral Support
  • Review Togethering applications and support the application selection process, including participating in selection calls as needed.
  • Oversee quality control of selection process reports and related materials, ensuring information is accurate, complete, and ready for review.
  • Support referral tracking and alumni outreach related to referrals, including reviewing data, compiling referral information, and tracking outreach.

Systems, Database & Administrative Support
  • Provide administrative support to staff and partners, including database system updates and related operational tasks.
  • Support back-end interview logistics in Salesforce and Calendly, including scheduling workflows, system coordination, and cross-training to provide backup coverage for interview logistics.
  • Manage ongoing Salesforce database administration, including managing duplicates, data integrity, backend updates, and generating reports.

Interviewer Management, Training & Quality Support
  • Support the Senior Manager, Cohort Strategy, with interview operations, including interviewer training, scheduling, billing coordination, communication, and ongoing support to ensure consistent, high-quality applicant experiences.
  • Conduct interviews as needed to maintain coverage and support the overall interview process.

Additional Responsibilities
  • North American travel required, including Togethering trips, staff retreats, and meetings, approximately 2 - 3 times per year.

About You - Skills, Knowledge and Expertise
You are a detail-oriented, systems-minded operator who brings structure, follow-through, and calm to fast-moving work. You are comfortable managing multiple priorities, communicating clearly across teams, and keeping applicant-facing processes organized and on track. You are proactive - anticipating needs, flagging issues early, and helping improve systems as the work evolves.
  • Passion for Togethering's mission along with a keen understanding of the Jewish communal landscape and mixed-heritage dynamics
  • A minimum of 2-4 years of professional experience in operations, administration, applicant support, program coordination, or a related field
  • Experience using - or willingness to learn - project management and data management platforms such as Asana and Salesforce
  • High proficiency with Microsoft Office Suite and Google Workspace, including comfort managing documents, spreadsheets, trackers, and shared files
  • Strong verbal and written communication skills, with the ability to communicate clearly and professionally with applicants, staff, partners, and contracted interviewers
  • Ability to meet deadlines and manage competing priorities in a fast-paced, quickly changing environment
  • A proactive approach to problem-solving, with strong judgment and decision-making skills
  • Comfort working independently and collaboratively across a virtual or multi-site work environment; experience working with remote staff is a plus
  • Care for the applicant experience and an understanding that strong backend systems help create a smooth, responsive, and welcoming process
