Purpose: The Project Manager, Intake Operations is responsible for leading cross-functional campaign launches, technology enhancements, and operational improvement initiatives across the organization. This role combines project management, quality assurance (QA), and business analysis to ensure efficient execution, accurate documentation, and seamless system integrations. The Project Manager partners closely with executive leadership and departmental stakeholders to prioritize initiatives, optimize workflows, and drive operational excellence through data-driven insights.
This is a full-time position in our Lake Mary, Florida, office or remote. Compensation for this role is an annual base salary of $95,000 to $110,000, depending on experience, plus the role is eligible for a discretionary bonus and benefits.
Key Responsibilities:
Campaign Management & Coordination
  • Lead end-to-end execution of new campaign launches and relaunches across multiple departments.
  • Drive process improvements and leverage data analytics to increase campaign efficiency and speed to market.
  • Maintain and manage centralized campaign tracking tools (e.g., ADO, Monday.com) to ensure visibility and accountability.
  • Facilitate recurring cross-functional meetings to align on priorities, timelines, and deliverables.
  • Conduct periodic workflow reviews to ensure alignment with evolving technologies and business needs.

Business Analysis & Requirements Management
  • Gather, analyze, and document business requirements from executive leadership and key stakeholders.
  • Translate business needs into clear, actionable technical requirements, use cases, and workflows.
  • Develop and maintain intake processes, approval workflows, and supporting documentation.
  • Create and update Standard Operating Procedures (SOPs) to support operational consistency and scalability.

Quality Assurance & Testing
  • Lead QA and User Acceptance Testing (UAT) efforts for system enhancements, integrations, and CRM updates.
  • Partner with technical teams to validate functionality and ensure successful implementation.
  • Document test results, identify defects, and recommend improvements to enhance system performance and reliability.

Data Analysis & CRM Optimization
  • Analyze operational and campaign data to identify trends, inefficiencies, and opportunities for improvement.
  • Evaluate existing workflows and recommend optimization strategies, particularly within campaign setup and intake processes.
  • Deliver actionable insights to improve team performance and overall business outcomes.

Project Planning & Reporting
  • Plan, manage, and track multiple concurrent projects related to operational and technology initiatives.
  • Ensure projects are delivered on time, within scope, and aligned with organizational objectives.
  • Develop reports, dashboards, and presentations using tools such as Excel and Salesforce.
  • Communicate project status, insights, and recommendations to stakeholders through clear, data-driven reporting.

Required Qualifications:
  • Bachelor's degree in Business Administration, Information Systems, Project Management, or a related field.
  • 3-5 years of experience in project management, business analysis, QA analysis, or a related role.
  • Strong experience managing multiple complex projects simultaneously.
  • Proficiency with project management and collaboration tools (e.g., ADO, Notion, Monday.com).
  • Experience with QA testing methodologies, UAT processes, and system integration validation.
  • Demonstrated ability to translate business requirements into technical solutions.
