As UCM continues to strengthen its organizational infrastructure, we are seeking a Data Systems Coordinator to help maintain reliable, accessible, and well-governed information systems that support our mission.

Position Summary

The Data Systems Coordinator supports UCM’s organization-wide data structure, access governance, reporting workflows, intake tools, and system documentation. This role ensures that official files are organized consistently, permissions are managed appropriately, forms and response systems function effectively, and reporting data is accurate, accessible, and usable across departments.

This is a systems coordination and maintenance role first, not solely a reporting analyst position. The successful candidate will help build sustainable data practices across the organization while partnering closely with staff members who use these systems every day.

This role requires strong communication skills, attention to detail, and the ability to work collaboratively with both technical and non-technical team members.

Position Details

Position Title: Data Systems Coordinator
Alternative Title: Data Operations Analyst
Reports To: Operations / Chief of Staff / Executive Operations Lead
Location: Remote
Hours: 15–20 hours per week to start
Schedule: Part-time or fractional position, with potential expansion as organizational needs grow
Compensation: $30–$38/hour, based on experience and qualifications

Key Responsibilities

Data Governance & File Organization

  • Maintain UCM’s shared drive structure, naming conventions, department folders, and official file locations.
  • Support archive routines and ensure organizational records are stored consistently.
  • Help maintain a reliable and accessible data environment across departments.

Access & Permissions Management

  • Maintain Google Groups and coordinate user access updates.
  • Support onboarding and offboarding access changes.
  • Partner with Google Workspace administrators to ensure appropriate permissions.
  • Identify and flag unnecessary or risky access issues.

Intake Systems & Forms Management

  • Maintain official Google Forms, response sheets, and intake workflows.
  • Ensure forms have appropriate ownership, required fields, and documentation.
  • Maintain records of form purpose, ownership, and usage.

Reporting & Data Support

  • Maintain reporting-ready templates and source files.
  • Assist department leads with data cleanup and organization.
  • Help standardize reporting fields and data practices across departments.
  • Support preparation of accurate, accessible information for organizational reporting needs.

CRM & Database Support

  • Support UCM’s EveryAction/CRM environment through:
    • Data imports and exports
    • Field alignment
    • Contact list cleanup
    • Basic data quality reviews
    • Documentation of database processes

Documentation & Process Improvement

  • Maintain data governance documentation.
  • Update canonical field dictionaries and data inventories.
  • Maintain access matrices, intake procedures, and standard operating procedures (SOPs).
  • Document recurring workflows to ensure organizational continuity.

Collaboration & Leadership

  • Communicate data needs and solutions clearly with staff across departments.
  • Facilitate conversations that help teams adopt consistent data practices.
  • Provide guidance and accountability while building trust with colleagues.
  • Lead meetings or check-ins related to data systems, processes, and improvements.

Role Ownership

The Data Systems Coordinator manages:

  • Shared drive governance maintenance
  • Google Groups and access coordination
  • Canonical field dictionary updates
  • Intake form structure and documentation
  • Data inventory updates
  • Reporting template maintenance
  • Data governance and SOP documentation

The Data Systems Coordinator will not independently manage:

  • Program strategy decisions
  • Grant compliance decisions
  • Final reporting approval
  • Executive-level decisions
  • Financial approvals
  • Narrative or brand approvals

Required Qualifications

  • Strong experience with Google Workspace tools.
  • Proficiency with Google Sheets or Microsoft Excel.
  • Experience organizing files, forms, databases, or shared information systems.
  • Strong attention to detail and commitment to data accuracy.
  • Ability to document processes clearly and consistently.
  • Strong communication skills and ability to work with diverse teams.
  • Comfort leading conversations about systems, standards, and accountability.
  • Basic understanding of permissions, access management, and data security practices.

Preferred Qualifications

  • Experience with EveryAction, VAN, CiviCRM, Salesforce, or similar CRM platforms.
  • Experience supporting nonprofit, advocacy, faith-based, or community organizations.
  • Experience improving organizational workflows and documentation systems.
  • Familiarity with data governance practices.

Initial Implementation Period

UCM anticipates beginning this role as a 20-hour-per-week part-time or fractional position for the first six months. During this period, the Data Systems Coordinator will help stabilize shared drives, governance practices, CRM processes, intake workflows, and reporting systems.

After the initial implementation period, UCM will reassess the role’s hours and responsibilities based on organizational needs and system maturity.
