Position Overview

This role provides direct administrative support to executives so they can stay focused on high-priority business decisions. You will manage scheduling, communication, document coordination, and follow-through on day-to-day tasks that keep leadership organized and responsive. The position is a strong fit for someone who is highly organized, discreet, and comfortable supporting a fast-moving leadership team.

Role & Responsibilities

  • Manage executive calendars, scheduling, and meeting coordination across priorities and time zones.
  • Prepare, organize, and track documents, notes, and follow-up items for leadership.
  • Handle email and communication support, including routing requests and flagging urgent items.
  • Coordinate travel, appointments, and other logistics as needed.
  • Maintain organized records and files for executive reference and business continuity.
  • Track action items and ensure deadlines, requests, and commitments are followed through.
  • Support ad hoc administrative tasks that help executives stay focused and efficient.

Must Have Criteria

  • 2-5 years of experience in executive support or administrative support.
  • Resume-verifiable experience managing calendars, scheduling, and meeting coordination.
  • Experience organizing documents, records, or administrative files.
  • Ability to handle repetitive administrative tasks with accuracy and discretion.
  • Basic proficiency with spreadsheets and standard office software.

Nice to Have

  • Experience supporting executives in financial services, investment management, or real estate.
  • Exposure to a small-company or high-growth environment.
  • Experience coordinating across multiple priorities or stakeholders.
  • Familiarity with records or document-control workflows.
