Position Overview - Document Controller

Working alongside engineers, project managers, and clients, you'll help ensure that critical technical documentation is accurate, complete, and delivered on time. From managing engineering drawing packages and tracking document revisions to coordinating project records across multiple stakeholders, your work directly supports the successful delivery of complex engineering projects.

Your Key Accountabilities

  • Document Control, Quality & Compliance
    • Perform quality control checks on outgoing documents, including drawings, equipment specifications, and scopes of work.
    • Ensure documents comply with internal standards and client-specific requirements.
    • Issue engineering packages to clients using required platforms such as AutoCAD Vault, Aconex, SDx, OneDrive or SharePoint.
    • Receive documents from clients and suppliers and accurately store them within BESTECH's document management systems.
    • Perform program-level document control to ensure document consistency across multiple projects under the same contract.
    • Ensure all project packages meet predefined guidelines by maintaining high quality standards.
  • Engineering Package Coordination
    • Coordinate, assemble, and prepare engineering packages to issue to clients and suppliers.
    • Create, manage, and track document transmittals.
    • Scan and compile hard copy documentation as required.
    • Cross-check document packages to ensure all required materials are complete and accounted for prior to issuance.
  • Project Administration & Recordkeeping
    • Maintain and update project-related logs, registers, and tracking tools as required.
    • Track document revisions, status, and distribution to support project execution and reporting.
    • Communication & Meeting Support
    • Attend internal team meetings and client meetings as required.
    • Prepare and distribute meeting minutes and related follow-up documentation.
    • Support effective communication between project teams, clients, and suppliers on document-related matters.
  • Departmental & Operational Support
    • Support department initiatives and continuous improvement efforts as requested.
    • Assist with additional document control or administrative tasks to support project and departmental objectives.

Qualifications

  • Diploma in Business Administration, Project Management, Office Administration, or a related field.
  • Minimum two (2) years of experience in document control, project administration, or a similar role.
  • Experience using document management systems; familiarity with AutoCAD Vault, Aconex, SDx, or SharePoint is considered an asset.
  • Proficiency with Microsoft Office applications.
  • Exceptional attention to detail with a strong commitment to accuracy and quality.
  • Highly organized with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Adaptable, proactive, and able to work effectively both independently and as part of a collaborative team.


Working Conditions

  • Work is primarily performed in an office environment, with the flexibility to work remotely as operationally required.
  • Flexible work schedule to support project and client needs. Occasional work outside of regular business hours may be required, with the ability to flex working hours to maintain work-life balance.

Total Compensation

The salary range for this position is $40,000 to $ 60,000 CAD per annum, based on the responsibilities of the role, internal equity, and current market benchmarks. The final offer will be determined by a combination of factors, including the candidate's skills, experience, and qualifications; their placement within our internal compensation structure; and relevant geographic cost of living considerations, where applicable. This range represents a realistic and good faith estimate of the compensation we expect to offer for this role.
