Job description

Our team is seeking a Senior Document Controller to support Canadian Nuclear Laboratories' information assets and provide guidance to junior document controllers-apply today!


What will you be doing!

  • Registering and reviewing Functional Documents (e.g., Management System and Conduct of Operations documents), and coaching client groups on content expectations and document hierarchy.
  • Ensuring information assets are filed in accordance with all applicable procedures, policies, and processes.
  • Acting as the primary contact for routine inquiries, providing information to stakeholders, and interpreting informationmanagement procedures, protection requirements, and retention/disposition rules.
  • Conducting audits of records filed by client groups and document controllers, identifying errors, directing corrections, and troubleshooting workflow or process exceptions.
  • Maintaining deliverables schedules, preparing aging/status reports, performing cause analyses, and collaborating on solutions to address issues within client groups.
  • Formatting large documents and building simple forms on behalf of clients.
  • Providing backup support to other sections and roles within the department as needed.
  • Responding to routine information requests from stakeholders both within and outside the organization, ensuring timely and accurate communication.
  • Issuing and filing departmental correspondence and providing general administrative support.
  • Supporting departmental operations by assisting other roles within the section as required.
  • Requires sustained attention to detail while proofreading, validating records, operating reproduction equipment, filing, and troubleshooting equipment.
  • Other duties as assigned by your manager.

What we are looking for:

  • Education/Experience
    • Successful completion of post-secondary education with 3-5 years of related experience, or document control certification and 3-5 years of related experience, OR a minimum of 10 years of progressing document control experience.
  • Knowledge, Skills & Abilities
    • Advanced knowledge of Microsoft Office Suite and Adobe to filter reports, capture documents in PDF format, format documents, and prepare them for archival, modify existing procedures and create flowcharts.
    • Advanced knowledge of electronic document management systems to search for, validate, process, issue, and archive documents.
    • Demonstrated practical knowledge of industry-specific/ best practice document control, records management and archival standards.
    • Detail-oriented abiity to identify discrepancies and errors in formatting and coding of documentation, as well as any inconsistencies in metadata and records.
    • Oral and written communication skills to interpret existing procedures to customers and coworkers.
    • Ability to engage clients at all levels of the organization, with tact and courtesy.
  • Security Clearance Eligibility Required
    • Reliability Status, which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's "Standard on Security Screening" and the "Policy on Government Security."


Working Conditions:

  • Working schedule: Five (5) days per week, seven and a half (7.5) hours per day for a thirty-seven and a half (37.5) hour work week.
  • This position is part of the USW 4096-404 union and is governed by the terms and conditions outlined in their Collective Agreement. As a member of this bargaining unit, you'll benefit from clear expectations around hours of work, wages, vacation, and other conditions that support a fair and consistent working environment.
  • Light to moderate physical activity, including lifting up to 25 kg, retrieving materials from shelves or vaults, climbing step ladders, and standing or sitting for extended periods.
  • Work may occur in dusty areas (e.g., storage/basement filing) and in an openoffice environment with prolonged computer use.
  • Deadlines, rush orders, repetitive tasks, and frequent interruptions from customers, trainees, or phone calls may contribute to periods of mental stress.
