Remote, Nationwide - Seeking Program Coordinator, Academic Outreach

The Opportunity  

  • Works with our two main student populations, Residents and PA and NP students, to build and strengthen Vituity's academic recruiting pipeline.
  • Creates and fosters relationships with Universities, Advanced Provider Student Training Programs, Residency Programs, and professional organizations to attract and recruit their current and alumni candidates.
  • Partners with the Marketing, Learning & Development, and Meetings & Events teams to develop and implement recruiting events that position Vituity as an employer of choice.
  • Coordinates Vituity's larger resident recruiting events end to end, including Spring Symposia Resident Track and SHIFT: manages registration, calendar holds, agendas, presentation decks, catering, and post-event attendance and satisfaction surveys, including QR-code surveys.
  • Supports the Residency Event program through:
    • Partners with Recruiters on coordination of events.
    • Creates residency event flyers.
    • Collects leads cultivated from recruiting events for recruiter follow-up.
    • Maintains cost information necessary to determine event ROI.
  • Serves as the administrative support contact for our rapidly expanding EMPA Fellowships.
  • Coordinates Affiliation Agreements for Residency Rotations with the Program Manager, Academic Outreach.
  • Develops ongoing relationships with Vituity PA and NP Fellowships by working with Vituity Medical Directors and Program Directors in conjunction with the Advanced Provider Director of Recruitment & Retention.
  • Coordinates quarterly EMPA Fellow Director meetings, including scheduling and follow-up, and serves as the administrative support contact.
  • Maintains the STAR Catalog and survey with the Director of Recruiting and Retention.
  • Coordinates Bootcamps with the Director of Recruiting and Retention: manages registration, logistics, agendas, and materials.
  • Tracks Program visit ROI with the Supervisor, Academic Outreach.
  • Coordinates Affiliation Agreements for rotations with the Program Manager, Academic Outreach.
  • Supports Vituity's ongoing relationships with Residency Programs by working with Vituity Medical Directors and Program Directors, in partnership with the Supervisor, Academic Outreach.
  • Maintains a deep, current understanding of Vituity's Residency Programs.
  • Builds and maintains tracking system for our current Vituity Residents.
  • Builds and maintains candidate and program lists in Phenom to support outreach and recruiter follow-up.
  • Manages team projects and recurring workflows in Monday.com and supports process automation, such as Power Automate, to streamline repeat work.
  • Maintains tracking and reporting for events, candidates, and residents.
  • Supports compliance tracking and audits, including the APP Fellowship Oracle audit.
  • Performs related duties as required.

Required Experience and Competencies

  • Bachelor's degree required in related field of study required.
  • 2 - 3 years of experience working in a recruiting environment with increasing responsibility required.
  • Experience in a client facing role preferred.
  • Experience working with C-Level executives preferred.
  • Proficient with applicant tracking system (Taleo, Phenom, or Salesforce) preferred.
  • High level of self-motivation and the ability to work independently, as a member of team, as well as with all types and levels of employees.
  • Superb verbal and written communication skills for formal presentations.
  • Outstanding listening skills with an open mind, but a decisive intuition.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, OneNote, Outlook).
  • Ability to establish close collaboration and cooperation with peers, direct manager, hiring managers, and senior leadership.
  • Ability to drive and influence decisions related to the recruiting process and recruiting initiatives.
  • High energy personality, with a "can-do" spirit that is seen as approachable at all levels of the organization.
  • Knowledge of basic Human Resource principles and best practices in recruiting including diversified recruiting, job posting, protected classes, internal applicants, and hiring staff.
  • Results-oriented and self-starter who enjoys a challenge and is dedicated to rolling up the sleeves and getting the job done independently if required.
  • Solid presentation skills, able to leverage data to influence decision making.
  • Ability to be detail oriented, successful at juggling multiple priorities and exhibits a high level of customer excellence. 
  • Ability to be self-directed, highly organized and productive, and capable of working effectively in a fast-paced work environment.
  • Ability to meet deadlines is a must.

We are excited to share the base salary range for this position is $27.28 - $34.10, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company's annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
