Job description

This is a remote position.

We’re looking to hire a Client Support & Services Specialist who can provide professional day-to-day assistance to clients and members while supporting our internal service and administrative teams. Candidates applying for this role should be highly organized, dependable, and comfortable managing multiple requests, inquiries, and administrative tasks at the same time.

The ideal candidate understands what excellent client service means and can communicate clearly, professionally, and respectfully with people from different backgrounds. Experience in customer service, administration, client relations, member services, or a similar environment is highly valued.

The candidate should be able to resolve routine questions, document client interactions, coordinate follow-up activities, and work collaboratively with internal teams to ensure that every client receives timely and accurate assistance. This position plays an important role in maintaining strong client relationships and supporting the organization's day-to-day operations.

Responsibilities
  • Respond to client and member inquiries through phone, email, and other approved communication channels.
  • Provide accurate information regarding services, procedures, requests, and account-related matters.
  • Prepare, organize, file, and retrieve client and service-related documents.
  • Maintain accurate and up-to-date records in internal databases and systems.
  • Document client interactions, requests, issues, and resolutions.
  • Coordinate appointments, meetings, calls, and follow-up activities.
  • Monitor outstanding requests and ensure appropriate follow-up within established timeframes.
  • Work with internal departments to resolve client questions and service issues.
  • Escalate complex or sensitive matters to the appropriate team or supervisor.
  • Communicate recurring client feedback and service concerns to relevant internal teams.
  • Assist with preparing reports, correspondence, presentations, and other administrative materials.
  • Conduct basic research to help answer client questions and support service initiatives.
  • Identify opportunities to improve client communication, service processes, and overall client experience.
  • Maintain confidentiality when handling client, member, organizational, or other sensitive information.
  • Perform additional administrative and service-support duties as assigned.


Requirements
  • Proven work experience in customer service, client support, member services, administrative support, or a similar role.
  • Excellent written and verbal communication skills.
  • Strong computer skills, including Microsoft Office or comparable productivity software.
  • Experience using CRM, customer-service, database, or case-management software is preferred.
  • Strong organizational and time-management skills.
  • Ability to manage multiple requests and priorities simultaneously.
  • Professional, courteous, and solutions-oriented communication style.
  • Strong attention to detail and accuracy.
  • Ability to work independently while collaborating effectively with internal teams.
  • Strong problem-solving and follow-through skills.
  • Ability to learn new systems, procedures, and organizational processes quickly.
  • Previous experience supporting customers, clients, members, or community-facing programs is highly valued.
  • Associate’s or bachelor’s degree in Business Administration, Communications, Customer Relations, Public Administration, or another relevant field is preferred but may not be required depending on experience.
