Location: Western Region (Central, Mountain, or Pacific Time Zone)-Remote

Engage PEO, recognized on the 'INC. 5000 Honor Roll for the Fastest Growing Private Companies' is seeking future Engagers who are ready to build a rewarding future. The Implementation Specialist is the first point of contact for new clients once the sales contract has been signed with Engage PEO. The Implementation Specialist will process initial payrolls and maintain an account relationship until the client is ready to transition to the Payroll Operations Department. This position requires excellent customer service, attention to detail, organizational skills, high volume payroll experience, and new client implementation skills.
Primary Responsibilities
  • Schedules Sales Hand Off meetings with sales and team members to review client details prior to the first contact
  • Schedules implementation meetings with clients and team members to provide a warm welcome and begin the data-gathering process. Schedules additional meetings throughout the implementation phase
  • Coordinates client's services with other Engage team members and vendors, such as the Engage Insurance Agency, Benefits, Risk, IT, Finance, and Time and Attendance vendors
  • Configures client company accounts in the HRIS system
  • Maintains project milestones and tasks in the project management system, ensuring the client is engaged and completing tasks as assigned and in accordance with the timeline. Sets priorities with clients and communicates issues or delays with the internal service team and sales
  • Analyzes and scrubs employee files for import into the HRIS system to begin new hire onboarding
  • Monitors onboarding with clients and coordinates with Benefits in preparation for enrollment
  • Updates in PrismHR all employee detail records with standard deductions, scheduled payments, retirement contributions and loans, I-9 information, and any other required information received from clients, utilizing advanced Excel skills and import processes, as well as manual data entry
  • Obtains year-to-date information (taxes, PTO balances, retirement contributions), configures and imports data prior to the first pay date
  • Self-audits all entries into the system. Follows procedures for an additional management audit of certain processes
  • Reviews and analyzes current payroll processes. Provides expertise in areas for efficiency and compliance. Selects appropriate pay/deduction codes for a client account and ensures T&A files are ready for import
  • Provides training to the client in the HRIS system - navigation, employee updates, reporting, onboarding, and enrollment monitoring, HR Action and PTO approvals, and payroll submission and approval
  • Ensures client managers are provided access to the Manager Portal and security and access are setup per the main client contact's directions
  • Review reporting needs with the client. Matches current reporting with available canned reports in the HRIS system or creates custom reports in the Engage Advanced Reporting module. Coordinates with IT as needed
  • Generates mock payroll reports and submits them to team members for auditing. Audits billing - admin fees, credits, implementation fees, and all payroll-related fees
  • Provide mock payroll reports to clients for review when requested
  • Ensures the client has selected a payment method and the payment method is ready prior to the first payroll week
  • Processes payroll for clients during each pay period and follows all Payroll Operations department procedures. Handles all off-cycle requests, check voids and direct deposit reversals Completes all implementation tasks, confirms account is complete, and updates client and payroll notes prior to account transition to the Payroll Operations department

Other Duties and Responsibilities:
  • Addresses internal cases and tasks within the CRM system
  • Performs other duties as required

Minimum Qualifications:
  • Minimum 3 years of payroll implementation in PrismHR and/or 5 years of payroll implementation or a combination thereof
  • ClientSpace and PrismHR knowledge is a required
  • Experience must include PEO implementation and payroll
  • Proficient with MS Office and intermediate Microsoft Excel skills.
  • Ability to write reports and business correspondence; ability to effectively present information and respond to questions from managers, the Payroll team, Clients, and the general public
  • Sound reasoning and decision-making are essential
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages
  • Ability to apply concepts such as fractions, ratios, and proportions to practical situations
  • Ability to define problems, collect data, establish facts, and draw valid conclusions
  • Ability to interpret an extensive variety of technical instructions in mathematical form and deal with several abstract and concrete variables
  • Performs work operations that permit frequent opportunities for decision-making of minor importance and also frequent opportunities for decision-making of major importance, either of which would affect the work operations of Engage, our clients, and worksite employees. Applies sound reasoning and logical thinking to arrive at conclusions that support the goals and objectives of Engage

COMPENSATION:
The starting base pay for this position is listed below. However, you should know that the pay rate may vary based on regional location, the candidate's skill, and relevant experience. In addition, some positions may include a form of bonus or other incentive compensation, which would not be included in this hourly range.
Hourly Rate Range: $30.00-$34.00
