Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Coordinator, Payroll Client Services based in Netherlands.

The Coordinator, Payroll Client Services will help customers navigate payroll processes, resolve standard payroll issues, and ensure smooth day-to-day support operations.
This is an opportunity to build strong foundational expertise in payroll systems, processes, and regional compliance requirements.
You'll work in a fully remote, asynchronous environment alongside an international team serving customers across multiple markets.
The role combines customer communication, structured problem-solving, operational accuracy, and continuous learning.
You'll use established workflows and documentation while progressively taking ownership of more complex payroll inquiries.
Your attention to detail and ability to communicate clearly will directly contribute to customer satisfaction and reliable payroll delivery.

Accountabilities
  • Resolve customer inquiries related to payroll processing, discrepancies, platform usage, and standard payroll processes through email, chat, phone, and other support channels while meeting established service-level expectations.
  • Gather and assess relevant customer information, documentation, and system data to accurately diagnose payroll issues and determine appropriate resolutions.
  • Follow established support workflows, operational procedures, and documentation to ensure cases are handled consistently, accurately, and efficiently.
  • Escalate complex or unfamiliar cases to senior team members through defined escalation channels and provide clear documentation of the issue, investigation, and actions taken.
  • Keep customers informed about the status of their cases, expected resolution timelines, and any required next steps, communicating payroll concepts and platform functionality in clear, customer-friendly language.
  • Maintain accurate support-ticket records and document case outcomes, resolution steps, and relevant customer information.
  • Develop a strong foundational understanding of payroll concepts, systems, processes, and compliance considerations across supported regions.
  • Identify recurring customer issues, documentation gaps, and process improvements, sharing insights that can help improve team efficiency and service quality.
  • Seek guidance proactively when encountering unfamiliar situations while progressively expanding the range of payroll inquiries that can be resolved independently.
Requirements
  • Demonstrated interest in payroll, customer support, operations, or related areas, with a willingness to develop deeper expertise in payroll processes and systems.
  • Strong customer-service mindset with the ability to communicate professionally, clearly, and empathetically across written and verbal channels.
  • Excellent attention to detail and accuracy, particularly when working with payroll information, customer cases, and operational documentation.
  • Ability to follow structured processes and established workflows while exercising sound judgment when investigating and resolving customer issues.
  • Strong organizational and time-management skills, with the ability to prioritize cases and consistently meet service-level expectations.

  • Availability to work approximately 8:00 AM-5:00 PM UTC, corresponding to approximately 9:00 AM-6:00 PM UK time or 10:00 AM-7:00 PM in countries such as Romania, depending on local time.
