Job description

Dreamscape Learn, a pioneer in the realm of immersive virtual reality learning design, is seekinga Production Coordinator at Dreamscape Learn, who will support the day-to-day operations of production, ensuring all logistics, schedules, and resources are aligned for seamless execution. The role will be a key part of the team, coordinating with various departments and stakeholders to ensure production timelines are met and that all aspects of the project run smoothly. The ideal candidate will have a strong background in production coordination, excellent organizational skills, and the ability to manage multiple tasks at once in a fast-paced environment.

This is a temporary 1099 contract role.

Roles and Responsibilities

  • Project Management: Primary contact for all production needs: managing requests, running the day-to-day focus of the team, and keeping the schedule on pace. Assists the Head of Production in planning and coordinating timelines, milestones, and deadlines so projects stay on time and within scope. Tracks how the project fits shifting product deadlines, joining cross-department meetings and flagging conflicts to the Content Production Team. Tracks and reports issues tied to SDK updates and the product.
  • Communication & Liaison: Serve as the main point of contact between departments, vendors, contractors, and crew, keeping communication smooth and updates timely across both software and hardware. This is the biggest and most time-consuming part of the role.
  • Logistics Coordination: Oversee logistics for production teams, including asset purchasing, travel, equipment, and other resources. Manage the flow of work from outside vendors and coordinate getting their assets into the active project. Schedule and deliver requests from other related departments like Marketing.
  • Scheduling: Manage and update production schedules, keeping all team members aligned and informed of key dates, deadlines, and shifts. Work closely with the Content Production Admin Team in meetings and planning around the broader production slate, and how their projects fit into it.
  • Document Management: Organize and maintain production-related documents, contracts, and files, making sure all paperwork is completed and filed on time. Build and manage the systems that keep information flowing, both confidential material for admins only and information the wider team needs to reach easily.
  • Vendor & Contractor Coordination: Communicate with vendors and third-party contractors to keep deliveries and services on time and aligned with project needs. Check that what's delivered integrates correctly into our systems and projects, working through the iterations and changes that often takes.
  • Problem-Solving: Anticipate potential production challenges and proactively address issues to minimize disruptions and keep projects on track.

Requirements

  • Proven experience as a production coordinator or assistant in a fast-paced production environment (film, gaming, television, digital media, etc.).
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and project management software (e.g., Jira, Confluence, Asana, Trello, Monday.com).
  • Strong understanding of production workflows, from pre-production through post-production and delivery.
  • Has experience in interactive media.
  • Strong organizational skills with the ability to manage multiple tasks and projects simultaneously.
  • Excellent communication skills, both written and verbal, with the ability to liaise with a variety of stakeholders.
  • Ability to work independently and remotely, with minimal supervision, while also collaborating with cross-functional teams.
  • Detail-oriented, with a proactive approach to problem-solving and managing deadlines.
  • Flexibility to adapt to changing priorities and timelines in a dynamic production environment.
  • Ability to be resourceful when faced with challenge.
  • Confident in supporting several teams for project completions.
  • Skilled in building team relations.

Preferred Skills

  • Previous experience working on both small-scale and large-scale productions.
  • Experience with remote production coordination tools and virtual collaboration platforms.
  • Bachelor's degree in Film, Media Production, Communications, or a related field, or equivalent professional experience.
  • Ability to work in a hybrid or remote work environment, if applicable.
