Job description

POSITION SUMMARY:

The Accounting Supervisor provides U.S.-based leadership and oversight for the Client Accounting Services function, ensuring timely issue resolution, clear communication, accountability, and consistent quality.

We are a virtual CPA firm seeking a remote Accounting Supervisor to join our rapidly growing team of highly skilled professionals. Our firm provides CAS (Client Accounting Services), consulting, and tax preparation services to clients across a variety of industries, including a strong and growing client base in the cannabis industry.

This position reports to the COO and Owner and is responsible for overseeing CAS operations, coordinating with our international teams, and ensuring work is completed accurately and timely. The ideal candidate will have strong accounting expertise, excellent organizational skills, and the ability to effectively manage and lead teams abroad.

Essential Duties and Responsibilities

Leadership & Oversight

  • Oversee monthly client accounting and bookkeeping engagements performed by CAS staff.
  • Ensure client books are maintained in accordance with firm standards and Lead instructions.
  • Provide support to the CAS team by addressing questions and resolving issues.
  • Prioritize work, delegate assignments, and monitor team performance to ensure deadlines are met.
  • Serve as a point of escalation for the CAS team and, when necessary, for clients supported by the PH CAS team.
  • Attend CAS-related meetings and provide timely updates (e.g., new client meetings)
  • Conduct weekly meetings with staff for coaching and providing leadership to team.
  • Complete Lead performance evaluations, review and approve all CAS staff performance evaluations, conduct performance review meetings with Leads, and participate in performance review meetings with all CAS staff to ensure consistent feedback, employee development, and alignment with company performance standards.
  • Monitor the status of the books and provide regular updates to the CEO and Client Relations Specialist as needed.
  • Participate in client calls to provide project and financial status updates.
  • Improve workflow coordination and planning to prevent bandwidth-related delays.
  • Establish clear authority within the reporting structure to ensure deliverables and response expectations are met
  • Monitor team performance, address performance concerns consistently, and conduct reviews.
  • Escalate performance matters to HR when appropriate
  • Provide coaching and oversight to strengthen technical accuracy and efficiency
  • Step in to support team members or provide training as needed to maintain smooth operations and prevent workflow disruptions.
  • Ensure accountability for deadlines, responsiveness, and quality standards.
  • Communicate with HR to request additional team resources when workload exceeds capacity.
  • Reviewing resumes and participating in interviews alongside HR to support hiring needs and fill department roles.
  • Manage ad hoc projects as needed, including bill payments, bank approvals, and support to program start-up management software for clients.

Quality Control Oversight

  • Conduct quality control reviews of staff work and financial statements and make necessary journal entry corrections.
  • Ensure proper tax basis reporting (cash or accrual).
  • Review balance sheets to prior year tax returns.
  • Review and adjust entries related to accounts payable, accounts receivable, cash, credit cards, and loans.
  • Verify payroll wages and payroll tax liabilities align with payroll reports.
  • Ensure monthly reconciliation of bank, credit card, and auto loan accounts.
  • Analyze balance sheet comparisons and identify/document discrepancies.
  • Confirm items under $1,000 are not improperly capitalized as fixed assets.
  • Complete and review tax workpaper allocations on profit and loss statements.
  • Oversee CAS Leads to ensure all jobs are properly updated in Tax Dome and related CAS tracking systems.
  • Independently resolve accounting issues within QuickBooks Online and QuickBooks Desktop.
  • Review Philippine agency timecards for approvals and accuracy against tax dome software.
  • Oversee staff timesheets to ensure accurate tracking of billable time and proper allocation for client billing.

Qualification Requirements

  • Bachelor’s degree in Accounting, Finance, or related field
  • Minimum five (5) years of bookkeeping or Client Accounting Services (CAS) experience
  • At least two (2) years of recent QuickBooks Online and/or Desktop experience
  • Experience with full-cycle bookkeeping (A/R, A/P, payroll, sales tax, journal entries, financial reporting, bank and credit card reconciliations, and third-party app integrations)
  • Working knowledge of U.S. tax laws and deadlines
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to work independently in a fast-paced environment
  • Reliable high-speed internet connection required
