Hoselton Auto Mall

HR Generalist - full‑time position.

Hoselton Auto Mall is a family‑owned auto dealership in the Greater Rochester area that’s been in business for over 100 years with over 300 employees. We offer Chevrolet, Nissan and Toyota new vehicles and a wide array of pre‑owned vehicle makes and models. We have a fully stocked wholesale/retail parts department, experienced service technicians, and qualified body shop technicians in our state‑of‑the‑art Collision Center.

Responsibilities

The HR Generalist will assist in the administration of day‑to‑day operations of the human resources function. Core responsibilities include:

  • Recruitment, hiring, selection, benefits, leave administration, legal compliance, and workers compensation administration.
  • Respond to employee and manager requests promptly and exercise independent judgment.
  • Learn the weekly payroll process.
Key Functions
  • Plan and direct recruitment activities, including job descriptions, postings, applicant tracking, and placement.
  • Administer drug testing and background check programs.
  • Conduct new hire orientation and onboarding activities.
  • Work with the HR team on benefits administration (vendor relationships, SPDs, Section 125, ACA reporting, Form 5500 filings).
  • Facilitate leave management programs (NYS PSL, FMLA, PFL, Workers Compensation, Disability).
  • Assist HR Manager with safety and risk management (OSHA logs).
  • Maintain personnel files and monitor record‑keeping requirements.
  • Assist in development and implementation of policies and procedures, including employee handbook.
  • Maintain compliance with federal and state employment regulations.
  • Assist with company‑wide employee team‑building activities.
Payroll
  1. Understand the payroll process.
  2. Adjust time entries as requested by staff.
  3. Assist staff with timekeeping questions and troubleshooting.
  4. Review benefit deductions for newly eligible employees.
  5. Sort and distribute paychecks and annual W‑2s.
  6. Learn the weekly payroll process and serve as a payroll backup.
Recruiting
  1. Assist with development and maintenance of an effective recruitment program.
  2. Post job openings, monitor effectiveness, and sponsor jobs as needed.
  3. Maintain applicant tracking system.
  4. Conduct phone screens and in‑person interviews.
  5. Send applications/resumes to hiring managers for open positions.
  6. Coordinate interviews.
  7. Follow up with candidates regarding status of applications.
Hiring
  1. Extend offers to candidates.
  2. Perform reference checks and background testing as appropriate.
  3. Coordinate pre‑employment process (drug screen, MVR).
  4. Coordinate and schedule new‑hire paperwork.
Onboarding
  1. Prepare new hire folders.
  2. Review new hire paperwork (benefit overview, policies, ADP Timekeeping).
  3. Set up and review ADP timekeeping procedures.
  4. Enter personnel data into Reynolds/ERA.
  5. Update phone directory as applicable.
  6. Enroll in benefit programs.
  7. Schedule new hire for orientation.
  8. Issue appropriate Hoselton apparel.
Benefits Administration
  1. Enroll new hires and process changes for all benefit programs.
  2. Audit payroll deductions for accuracy.
  3. Coordinate the annual benefits fair.
  4. Prepare annual employee benefit statements.
  5. Assist with annual open enrollment (census reports, etc.).
  6. Maintain ACA Portal and 1095C reporting.
  7. Assist with 401(k) plan questions.
  8. Assist with benefit communications (myBetterBenefits, etc.).
  9. Assist with SPD/Plan Document administration and compliance.
  10. Enroll newly eligible for employer‑sponsored benefit card and distribute FSA updates.
  11. Assist in processing annual 5500 forms.
Workers Compensation Administration
  1. Submit first report of injury to insurance carrier.
  2. Update OSHA log and post annual OSHA 300 logs.
  3. Send monthly lost‑time record to HR Manager.
  4. Maintain records and follow up with employee and carrier.
Leave Administration
  1. Comply with FMLA and NYS PFL.
  2. Administer FMLA, PFL, NYS PSL and supplemental disability leaves.
  3. Maintain leave of absence log.
Employee Relations / Development
  1. Assist coordination of company‑wide employee activities.
  2. Maintain and distribute birthday and anniversary lists.
  3. Respond to employee questions, complaints, and policy interpretation.
  4. Assist with anti‑harassment training and other initiatives.
Compliance (Policy & Procedure Administration)
  1. Assist handbook maintenance and recommend updates.
  2. Process annual EEO filings.
  3. Verify employment requests.
  4. Maintain personnel files.
  5. Monitor record‑keeping requirements.
  6. Ensure legal posting compliance.
  7. Manage annual notices (creditable coverage, CHIPRA, WTPA, etc.).
  8. Scan new‑hire data integrity documents.
Knowledge and Skills
  • Knowledge of state and federal HR laws (FLSA, ADA, FMLA, Disability).
  • Knowledge of personnel administration principles.

The employee is required to talk and hear, sit, use hands and fingers, perform keyboard tasks, occasionally stand, walk, reach, climb, stoop, kneel, crouch or crawl. Vision: close vision required.

Work Environment

Occasionally exposed to moving mechanical parts and vehicles. Noise level usually quiet to moderate.

Work Schedule

8:00 am to 5:00 pm, Monday–Friday. Full‑time employees scheduled for 40 hours within operating hours. Employees must take meal breaks in accordance with New York state law.
