Job Summary

Aptive Resources is seeking a Management Analyst to support the Office for the Sustainment & Implementation of Research EHR Solutions (OSIRES) within the Department of Veterans Affairs (VA) Office of Research and Development (ORD).

As VA accelerates deployment of its new Electronic Health Record (EHR) system, the OSIRES Study Build & Maintenance Team is supporting implementation and sustainment activities across the VA research enterprise. This role will support research study teams, VHA facilities, and OSIRES stakeholders by coordinating intake, assessment, tracking, and communication of research-related EHR build and sustainment needs.

The Management Analyst will serve as a key operational resource responsible for administering site assessments, maintaining REDCap databases and tracking tools, coordinating stakeholder communications, supporting study build activities, facilitating meetings, documenting action items, and helping ensure research study needs are addressed throughout the EHR implementation and sustainment lifecycle.

The ideal candidate will have experience supporting healthcare, clinical research, health informatics, EHR implementation, or research operations activities and possess strong organizational, analytical, communication, and problem-solving skills. Candidates with experience working across research, operational, and technical teams are strongly encouraged to apply.

This is a full-time (40 hours/week), 100% remote position.

This position is currently funded through September 29, 2026 under the current contract period of performance, with potential for extension into the next option year based on contract continuation and program needs.

Primary Responsibilities
  • Support implementation and sustainment activities associated with research-related Electronic Health Record (EHR) solutions.
  • Administer surveys and site assessments to identify research study build, maintenance, and sustainment requirements.
  • Gather, document, analyze, and track study-specific requirements, requests, scope changes, and implementation needs.
  • Maintain REDCap databases and ensure project information, survey results, study requirements, and status updates remain accurate and current.
  • Verify, organize, validate, and clean project-related data to support reporting and operational decision-making.
  • Coordinate communication among researchers, study teams, VHA facilities, OSIRES personnel, and other stakeholders.
  • Schedule meetings, prepare agendas, document meeting minutes, track action items, and support follow-up activities.
  • Develop and maintain trackers, status reports, requirement logs, and workflow documentation.
  • Monitor progress of study build and sustainment activities and help ensure timely completion of assigned actions and milestones.
  • Assist in development and refinement of processes, SOPs, job aids, templates, and other operational materials supporting program growth and standardization.
  • Identify issues, risks, and opportunities for process improvement and assist in developing practical solutions.
  • Support stakeholder engagement and coordination activities associated with ongoing EHR deployments and sustainment efforts.
Minimum Qualifications
  • Bachelor's degree in Public Health, Health Informatics, Business Administration, Healthcare Administration, Research Administration, or a related field.
  • 4+ years of experience supporting program operations, healthcare operations, clinical research operations, EHR implementation, research administration, or related activities.
  • Hands-on experience with tools like REDCap, including survey administration, database maintenance, reporting, and data management activities.
  • Experience gathering requirements, maintaining tracking systems, coordinating stakeholders, and supporting operational workflows.
  • Experience validating, documenting, organizing, and maintaining large datasets.
  • Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
  • Strong analytical, critical thinking, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Strong customer service and stakeholder engagement skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Ability to obtain and maintain a public trust clearance.
  • Legal authorization to work in the United States.
Desired Qualifications
  • Experience supporting healthcare, clinical research, research operations, or EHR implementation initiatives.
  • Familiarity with Oracle Health/Cerner, VA EHR modernization efforts, or other enterprise EHR platforms.
  • Familiarity with health data workflows, research compliance requirements, or research study management activities.
  • Experience supporting implementation, sustainment, or operational change initiatives.
  • Experience developing SOPs, process documentation, workflow diagrams, or operational guidance materials.
  • Experience working in VA, VHA, federal healthcare, or academic research environments.
  • Project management training or certification (PMP, CAPM, Agile, or similar) is a plus but not required.
  • High degree of professionalism, discretion, and mature judgment in handling sensitive information.
