Description
The Administrative Officer supports day-to-day site security operations by managing administrative processes that keep personnel, records, training, scheduling, and reporting organized and compliant. Reporting directly to the Site Security Manager, this role provides essential coordination for site documentation, operational reporting, personnel support, inventory tracking, and training records in a cleared, mission-critical environment. The ideal candidate is highly organized, detail-oriented, and comfortable handling sensitive information while supporting consistent execution of site procedures and administrative requirements.
Key Responsibilities
  • Support the Site Security Manager and site leadership team with day-to-day administrative coordination for security operations.
  • Maintain accurate records, logs, incident documentation, training files, scheduling information, and other required administrative materials.
  • Assist with onboarding, personnel tracking, scheduling updates, leave coordination, and related administrative support for assigned site personnel.
  • Prepare, update, and distribute operational reports, administrative summaries, and site-related documentation as required.
  • Track site-issued supplies, uniforms, equipment, and inventory records, and coordinate replenishment or repair requests as needed.
  • Support training coordination by maintaining records of required training, certifications, refresher activity, and compliance-related documentation.
  • Ensure administrative processes are completed accurately, on time, and in accordance with site procedures, company policies, and applicable requirements.
  • Handle sensitive personnel and operational information with discretion, professionalism, and a high degree of accuracy.

Requirements
Required Qualifications
  • Active TS/SCI clearance with Full Scope Polygraph required.
  • U.S. Citizenship required; must provide a valid U.S. Passport Book or Passport Card.
  • Minimum of 18 years of age.
  • High School Diploma or GED.
  • Prior experience in an administrative, operations support, scheduling, compliance, or records-focused role.
  • Strong organizational skills with the ability to manage multiple priorities, maintain accurate documentation, and meet deadlines.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and related reporting, scheduling, documentation, or recordkeeping systems.
  • Discretion and professionalism in handling sensitive personnel and operational information.
  • Ability to support a 24/7 operation, including occasional evenings, weekends, and after-hours administrative needs when required.

Preferred Qualifications
  • Associate or bachelor's degree in business administration, criminal justice, security management, or a related field.
  • Experience supporting security operations, government services, secure facilities, or other compliance-driven environments.
  • Experience with incident documentation, training records management, inventory tracking, or workforce scheduling.
  • Familiarity with access control systems, reporting systems, or other operational support tools used in secure environments.
  • CPR, First Aid, or other site-related certifications are a plus.
