Summary 

The Receptionist creates the first impression for all visitors and MarketSource employees in all interactions- on the phone, via email or in person. This role requires in-office coverage from 8 am to 5 pm five days per week. In addition to greeting and assisting visitors, answering incoming calls and directing calls to appropriate business partners, the receptionist provides general office support with a variety of clerical activities and related tasks including mail and/or package distribution and other related duties as assigned. 

Essential Job Functions: 

  • Greet guests in a professional, friendly, and hospitable manner  

  • Professionally administer all incoming calls and requests 

  • Type memos, correspondence, reports, and other documents as requested 

  • Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and related information 

  • Assist in the ordering, receiving, stocking and distribution of office supplies 

  • Schedule and maintain conference rooms 

  • Maintain and distribute accurate employee office phone list 

  • Utilize the internal request portal to respond and track all work orders in a timely manner, ensuring excellent customer service 

  • Assist with office/desk key distribution and management 

  • Assist in new hire security badge process and distribution 

  • Request building maintenance/repairs as needed 

  • Assist the Facility Manager with project management coordination tasks (i.e. requests for construction, furniture, telecommunication, procurement, and Information Systems) 

  • Build collaborative relationships with property management and executive administrative teams and communicate issues directly with them for resolution 

  • Assist with and support miscellaneous facilities projects as assigned


Required Knowledge, Skills, and Abilities: 

  • Working Knowledge MS Office Suite (Word, Excel, Outlook) 

  • Ability to accurately type 45+ words per minute 

  • Demonstrated ability to follow up and follow through independently 

  • Excellent phone etiquette 

  • Excellent verbal and written communication skills 

  • Proven Customer Service skills 

  • Strong organizational skills 

  • Demonstrated excellence in interpersonal communication skills 

  • Demonstrated ability to use good judgment and work independently on assigned tasks as well as make recommendations for improvement as appropriate 

Job Requirements: 

  • 1 year of related experience in customer service and/or office administration; real estate environment highly desired 

  • Tech Friendly/Savvy – Intuitive knowledge to effectively operate modern office devices  

  • Excellent oral and written communication skills 

  • High School Diploma or GED 

  • In-office work 5 days per week (Monday through Friday), 8 am – 5 pm or as directed by Facilities Manager
