WESTFIELD WASHINGTON SCHOOLS

WHS Receptionist/Sub Coverage/AP Administrative Assistant

Job Description

Qualifications:ย  High school diploma, computer skills including proficiency with word processing.ย  Must be able to multi-task in a fast-paced environment.ย  Good human relations skills a must with ability to keep information confidential.ย  Ability to speak Spanish a plus but not required.

Reports To:ย  Principal/Assistant Principals/Dean of Students

Evaluated By:ย  Assistant Principal

Length of Contract:ย  184 days, 7.5 hours per day

Receptionist/AP Administrative Assistant will be responsible for the following:

DAILY

  1. Answer main phone line take and forward messages.
  2. Provide administrative support to Assistant Principalsย 
  • Call students down during the day to see Assistant Principals
  • Assist and keep track of students called to the office to meet with Assistant Principals
  • Support AP's as needed with specific requestsย 
  1. Provide administrative support to Attendanceย 
  • Record absent students from substitute teachers each period
  • Call students down as needed for early dismissals
  1. Assist with facilities scheduling and set ups for staff for events in high school during the school day.ย ย ย 
  2. Assist with helping find sub coverage during the school day.
  3. Assist students and staff with questions or particular needs.
  4. The receptionist serves as back up for the information desk, attendance secretary and principal's secretary and performs their duties as needed.
