Well established Sunrise, FL-based Technology Co. is seeking a full time Receptionist/Administrative Assistant to join our team.
Your outgoing personality and intuitiveness will be required to run the front desk.
Job Description:
• Answering a multi-line VoIP phone system and fielding calls
• Serving visitors by greeting, welcoming and directing them appropriately, notifying company personnel of visitor arrival.
• Distributing mail and faxes to appropriate staff as needed for 2-3 companies
• Retrieving general office voicemails and forwarding them to the appropriate staff
• Taking inventory of all kitchen supplies, office supplies and janitorial supplies
• Maintaining safe and clean office, conference rooms and kitchen areas
Helping with Accounts Receivable, matching checks to customer invoices (Will be cross-trained on this to fill in when needed)
• Mailing vendor checks
• Helping with Collections (Will be cross-trained on this to fill in when needed)
• Maintaining filing for both AR and AP.
• Scheduling of technicians on a daily basis.
• Assisting with special projects as needed for management & owner
Requirements
Required Skills:
• Strong general computer skills a must; proficient in Microsoft Word & Excel
• Self-motivated and can work with little supervision
• Work well with others on a team
• Highly organized with the ability to multi-task and prioritize
• Superior verbal/written skills
• At least 1-2 years of related office experience
• Knowledge of UPS WorldShip Online, USPS Online and other internet based websites
• Must have knowledge of working office technology (e.g.. fax, printers, copy machines, etc.)
• Must have a polite, courteous and professional demeanor with both customers and internal team members.
• Proficient with Microsoft Office 365 email
• Timeliness a must
• Experience with service ticket applications such as Zoho a plus
