Job description

Front Desk Receptionist:

The Backyard Club is a premium indoor pickleball, fitness, and social club opening in Vaughan. We are looking for a reliable, friendly, and organized Reception Staff member to support our front desk, member experience, and daily club operations.

This person will be one of the first faces members and guests see when they enter TBC, so they should be welcoming, professional, and comfortable helping people in a busy club environment.

Role Overview

The Reception Staff member will support daily front desk operations, including member check-ins, guest support, bookings, payments, open play coordination, basic facility monitoring, and general club assistance.

This is a hands-on role. The right person should be comfortable helping wherever needed to keep the club running smoothly.

Key Responsibilities:

Member & Guest Experience

  • Welcome members, guests, partners, and event attendees as they enter the club
  • Check members and guests in using the clubโ€™s booking / membership system
  • Answer questions about memberships, court bookings, open play, events, guest passes, club rules, and facility amenities
  • Provide friendly and professional support in person, by phone, and by email
  • Help create a positive, premium, and community-focused environment

Front Desk Operations

  • Manage member check-ins, guest waivers, guest passes, day passes, and basic account updates
  • Assist with court booking questions, cancellations, payments, and member inquiries
  • Monitor the front desk area and direct members and guests to the correct courts, programs, or areas
  • Support daily opening and/or closing procedures
  • Keep the reception area organized, clean, and presentable at all times

Open Play Support

  • Help manage open play check-ins and player flow
  • Direct players to the appropriate courts and open play levels
  • Assist with organizing rotations, waitlists, and court usage during open play sessions
  • Monitor open play areas to help ensure fair, smooth, and respectful play
  • Communicate open play rules and expectations to members and guests
  • Escalate any player issues, disputes, safety concerns, or rule violations to management

Facility Support

  • Complete regular walk-throughs of courts, lounges, bathrooms, gym areas, hallways, and common spaces
  • Help keep the facility clean, organized, and safe throughout the shift
  • Restock basic supplies such as towels, toilet paper, soap, cups, and other member-use items as needed
  • Report maintenance, cleanliness, safety, or member issues to management
  • Support basic set-up and reset of courts or club areas when needed

Events & Programming Support

  • Assist with tournaments, leagues, clinics, open houses, corporate events, and soft opening activations
  • Help with event check-in, waivers, guest lists, court assignments, and guest flow
  • Support vendors, partners, sponsors, and coaches during events as directed by management

Qualification

  • Previous reception, hospitality, fitness club, recreation facility, or customer service experience preferred
