Job Title: Administrative Assistant / ReceptionistJob Description
The Administrative Assistant / Receptionist provides front desk support, manages incoming calls, and performs a variety of clerical and administrative tasks to ensure smooth daily operations. This role includes handling invoicing, data entry for sales orders and materials, and general office support in a small, business casual environment.
Responsibilities
  • Answer incoming phone calls promptly and professionally and transfer calls to the appropriate staff members.
  • Serve as the first point of contact at the front desk, greeting visitors and directing them as needed.
  • Prepare, process, and maintain invoices accurately and in a timely manner.
  • Key in sales orders and related certifications into the appropriate systems or databases.
  • Enter and update material receiving information accurately to support inventory and record-keeping.
  • Perform general clerical duties, including filing, scanning, and organizing documents and records.
  • Use Outlook to manage email communication, schedule appointments, and maintain calendars as needed.
  • Support day-to-day administrative activities to ensure efficient office operations.
Essential Skills
  • At least 1 year of work experience, preferably in an administrative or clerical role.
  • Proficiency in administrative support tasks, including handling documents and maintaining records.
  • Experience performing clerical duties such as data entry, filing, and scanning.
