Position Summary:
Senior manager of Real Estate Lease Administration will lead our team of real estate transaction analysts. As a leadership role within Real Estate, this position collaborates with internal and external stakeholders and manages a team in order to drive Real Estate initiatives through accurate assessment and reporting of real estate transactions. Oversee accuracy in lease payments / receivables, critical date tracking, and compliance with lease terms. The manager will guide and mentor the analyst team, streamline processes, and implement best practices to optimize portfolio performance. In partnership with internal departments such as finance and legal, this role ensures timely reporting and supports decision-making for lease negotiations and renewals. The ideal candidate brings strong leadership, analytical skills, and a deep understanding of commercial lease terms and systems. Experience managing large lease portfolios and using lease administration platforms is preferred. The position ensures that Real Estate leadership is updated on team activities, needs, initiatives, etc. while providing superior customer service. Interacts extensively with landlords and tenants and managers/directors throughout the organization. This role will directly report to the Vice President of Ambulatory Development & Real Estate.
Position Responsibilities:
Key Areas of Responsibility
Manages a comprehensive portfolio of real estate leases across multiple healthcare facilities, including acute campuses, ambulatory settings, and administrative offices. Lease Compliance: Ensures full compliance with lease terms, regulatory requirements (e.g., Stark Law, Anti-Kickback Statute), and internal policies related to healthcare leasing. Audit and Risk Management: Coordinates internal and external lease audits, identifies potential financial or legal risks, and initiates corrective actions when needed. Budgeting and Forecasting Support: Collaborates with finance and accounting departments to support real estate budget planning and long-term forecasting. Lease Negotiation Support: Provides support in lease negotiations and renewals, ensuring favorable terms that align with the organization's strategic and operational needs. Technology Utilization: Leverages lease administration software and integrated data systems (Tango) to streamline processes and enhance reporting accuracy. Ensures data integrity and accuracy by performing quality control review of work completed and data prepared by transaction analysts. Creates efficiencies by reviewing and updating standard procedures for Lease Administration and its interaction with other departments. Management of CAM accruals to maintain accurate financial records and reconciliations. Review inter-company leases, amendments, and terminations completed by the transaction analysts.
Communication with landlords and tenants to execute beneficial lease terms for HHC to ensure the real estate department is in line with standard real estate practices. Resolve any landlord / tenant matters by researching and gathering information about payment transactions, lease terms and other relevant information. Partner with our legal team if necessary to communicate appropriately.
Provides leadership and direction to department staff, developing and communicating clear performance expectations, monitoring work, and challenging individuals to achieve their potential. Support, lead and educate the real estate transaction analysts to ensure they are expanding their knowledge base relative to lease administration functions. Strives to hire and retain the highest quality staff. Ensures that hiring decisions, disciplinary actions, and all other human resource management activities are carried out effectively and fairly and in compliance with corporate policies.

• Minimum: College Degree Required or Equivalent Experience within a related field
• Preferred: Real Estate, Finance, Business or related field
Experience
• Minimum: 8 or more years in real estate with management experience
• Preferred: Strong financial and analytical skills, with attention to details
Knowledge, Skills and Ability Requirements
• Manager of people within the real estate industry
• Strong understanding of lease terms, CAM billing, legal requirement and real estate practices.
• Excellent data entry and database management skills with high attention to detail.
• Proficiency in Microsoft Excel, Word, and lease administration software
• Exceptional organizational and communication skills.
• Ability to manage multiple tasks and deadlines in a dynamic environment.
