Licensed Real Estate Assistant & Listing Specialist

The Mission

Our high-energy real estate team is hunting for a sharp, fully licensed Listing Specialist & Assistant to orchestrate our property inventory and elevate our client experience. In this vital role, you will be the operational and logistical backbone of our listingsโ€”ensuring every property moves smoothly from onboarding to the closing table. If you are an organized, legally savvy professional who thrives on vendor coordination, client interaction, and fast-paced field logistics, this is your opportunity to excel in a forward-thinking environment.

Core Responsibilities

Listing Logistics & Vendor Management

  • Spearhead property readiness by sourcing, scheduling, and managing third-party vendors (photographers, stagers, contractors, inspectors, and appraisers) to get homes market-ready.
  • Maintain ironclad records of all contracts, disclosures, vendor invoices, and transaction correspondence for seamless deal tracking. Create work-back schedules on google sheets, and manage that on a weekly basis with the internal team and with clients.

Field Operations & Client Advocacy

  • Conduct property showings and host open houses for potential buyers, representing the team with professionalism, deep property knowledge, and enthusiasm.
  • Partner with lead agents on critical transaction phases, including analyzing incoming offers, preparing counteroffers, and navigating complex negotiations.
  • Drive top-tier communication with buyers, sellers, and external agents, providing clear updates that guide deals smoothly to the closing table.

Compliance & Market Intel

  • Protect the team by vetting all documentation, disclosures, and field activities against Fair Housing guidelines, local real estate statutes, and industry ethics.
  • Monitor local market fluctuations and emerging industry shifts to provide real-time strategic insights to both clients and internal teammates.
  • Market Analysis: Know how to do CMAs using Moxie Present, Ai, to help determine pricing for listings and help buyers determine values for homes they are considering to purchase.

What You Bring to the Team

  • Credentials: Active, practicing Real Estate License is mandatory, paired with a solid grasp of real estate law, showing etiquette, and closing mechanics.
  • Field & Vendor Savvy: Proven ability to manage external service providers, enforce deadlines, and comfortably interface with buyers during live property tours.
  • Tech Capabilities: High comfort level adopting new sales tech, navigating complex CRM software, and utilizing modern transaction management platforms.
  • Negotiation & Nuance: Top-tier communication skills with a proven ability to manage client expectations and handle delicate deal negotiations.
  • Detail Obsession: Superior organizational habits with the stamina to handle multiple listings and fluid field schedules simultaneously without dropping the ball.
  • Bonus Assets: Prior background in having listed a home, or done a few buyer purchases is a plus. Bilingual or multilingual fluency is highly valued to help us serve our diverse community.

Final must have: This role is going to require flexibility in work hours. This is not a 9-5 role, 5 days as week. It will be 6 days a week role with some weeks having longer hours, other weeks with much shorter work hours. We want someone who is all in and passionate about serving clients.

Pay: $70,000.00 - $100,000.00 per year
