The Rates Specialist will work within the Client Compliance Department to manage and validate rate implementations and maintenance at the Firm, client, and matter levels. This will include responding to requests from the Client Operations billing department for current rate information; implementing agreed rate arrangements for Firm clients; coordinating data for the submission of new timekeeper rates; analyzing client guidelines to set-up approved cost exceptions; troubleshooting client, matter, and timekeeper rate calculation issues; and ad hoc reporting as needed.
Responsibilities
  • Assist with the implementation and maintenance of client rate arrangements and other discounts in the Finance System
  • Support monthly rate maintenance for Firm clients including identifying new timekeepers and monitoring upcoming rate expirations
  • Proactively review and validate current rate arrangements and cost restraints against client engagement letters and Outside Counsel Guidelines
  • Provide assistance to members of the Client Operations Billing department with rate issues and inquiries
  • Ensure that rate requests and inquiries are attended to on a timely basis
  • Support the review of Year End rate expirations to ensure new arrangements are secured and updated
  • Support annual Firm rate upload projects such as Fiscal Year End and Associate Matriculation schedules
  • Monitor progress of rate requests and escalate to Supervisor when necessary
  • Participate in system enhancement testing and reporting improvement activities, as needed
  • Ensure adherence to Firm policies
  • Maintain current documentation of existing practices
  • Special projects as assigned

Qualifications
  • Undergraduate degree required; exposure to Legal Finance required
  • 3+ years of experience in legal billing or related role preferred
  • Prior experience in rates administration and/or maintenance
  • Strong attention to detail and organization skills
  • Strong Excel and analytical skills
  • Ability to efficiently review, execute, and organize high-volume of inquiry requests
  • Strong knowledge of Aderant Expert Rates or similar legal finance platform
  • Ability to work under pressure and meet deadlines
  • Ability to manage high volume portfolios with great attention to detail and ability to prioritize
  • Superb interpersonal skills; must be a team player and have superior customer service skills
  • Strong written and verbal skills
  • Flexibility to work overtime as needed

This position may require physical presence in Proskauer's offices on a regular basis. The anticipated compensation range for this position is $80,000 - $100,000. The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
