Billing Rate Specialist
Department: Finance
Reports To: Financial Applications Coordinator
Location: Dallas
FLSA: Non-Exempt
POSITION SUMMARY:
The Billing Rate Specialist supports the administration and coordination of client fee agreements and billing rate processes across the Firm. This role assists with maintaining rate information, monitoring negotiated fee arrangements, supporting annual and ongoing rate review processes, and ensuring accurate implementation of billing rate updates. The position works collaboratively with attorneys, billing coordinators, legal administrative assistants, and internal finance teams to support effective billing operations and compliance with Firm policies and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Rate Administration & Maintenance
  • Assist with identifying non-standard client rate agreements and capturing key information related to negotiated terms and expiration dates.
  • Maintain and update client master files to accurately reflect billing rate agreements, commencement dates, expiration dates, and related terms.
  • Update client and matter timekeeper rate changes as requested.
  • Assist with revaluation of unbilled time related to rate updates and changes.

Rate Review & Analysis
  • Support annual and ongoing rate review processes under the direction of department leadership.
  • Assist with analysis of exception rates and coordination of approved rate changes throughout the year.
  • Generate ad hoc rate-related reports and assist with tracking and monitoring rate activity.

Collaboration & Communication
  • Communicate rate updates and related information to attorneys, billing coordinators, and internal teams as directed.
  • Respond to rate-related inquiries from attorneys, legal staff, and administrative teams.
  • Participate in discussions related to billing rate processes, workflow improvements, and operational efficiencies.

Projects & Operational Support
  • Support departmental initiatives, special projects, and process improvement efforts.
  • Perform additional duties and responsibilities as assigned.

QUALIFICATIONS:
  • Bachelor's degree in business, finance, accounting, or a related field preferred; equivalent work experience or relevant coursework may be considered.
  • Minimum of 4 years of relevant experience required; law firm experience preferred.
  • Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
  • Strong analytical and problem-solving skills with attention to detail and accuracy.
  • Effective written and verbal communication skills.
  • Ability to work collaboratively with attorneys and administrative professionals across the Firm.
  • Professional demeanor with a customer service-oriented approach.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Familiarity with Aderant or similar financial management systems preferred.
  • Ability to identify issues and recommend solutions with appropriate guidance.
  • Ability to maintain confidentiality and exercise discretion.

WORK CONDITIONS:
This position operates in a professional office environment with standard office equipment. Extended periods of sitting, standing, and computer usage may be required.
