Executive Assistant to the CEO

Location: Houston, TX - Hybrid
Job Type: Full-Time

Position Overview

We are seeking a highly organized, proactive Executive Assistant to provide comprehensive support to the CEO and Executive Team while managing day-to-day office operations. This is a dynamic role requiring the ability to anticipate needs, think critically, and solve problems while maintaining the highest level of professionalism and confidentiality.

The ideal candidate will be a motivated self-starter with strong administrative, organizational, and communication skills who can work independently in a fast-paced environment. This position requires some flexibility in work schedule to accommodate international time differences.


Key Responsibilities

Executive Support

  • Manage the CEOs calendar, scheduling, and priorities to ensure efficient use of time and alignment with company objectives
  • Anticipate scheduling conflicts and proactively resolve issues
  • Prepare reports, presentations, and correspondence for executive meetings and external stakeholders
  • Coordinate travel arrangements and prepare expense reports
  • Collect and prepare briefing materials for meetings and presentations

Communication & Coordination

  • Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO
  • Exercise discretion and judgment when handling confidential information
  • Coordinate communication with leadership, clients, vendors, and partners

Sales & Project Support

  • Coordinate with potential buyers and sellers of railway equipment
  • Maintain and track sales orders and related documentation
  • Support marketing and sales initiatives when needed

Relationship Management

  • Build and maintain strong relationships with clients, vendors, and internal teams


Qualifications

Education

  • High School Diploma or equivalent required; Bachelor's degree preferred

Experience

  • Minimum 5 years of executive administrative support experience, preferably supporting C-level executives in a start-up or fast-paced, high-growth company
  • Experience in construction, engineering, infrastructure, or project-based environments preferred

Skills & Competencies

  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to create professional presentations, reports, and documentation
  • Strong written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of discretion when handling confidential information
