Quote Manager information

What is a quote manager?

Quote Managers are professionals responsible for overseeing the process of creating, managing, and delivering price quotes to customers or clients, typically in sales-driven industries. They coordinate with sales teams, suppliers, and other departments to ensure that quotes are accurate, competitive, and align with company policies. Quote Managers often use specialized software to streamline the quoting process, track approvals, and maintain records. Their role is crucial in helping organizations win business and maintain profitability by balancing customer needs with company objectives.

What skills and qualifications are needed to thrive as a quote manager?

To thrive as a Quote Manager, you need expertise in pricing strategy, cost analysis, and a solid understanding of sales processes, often supported by a degree in business or a related field. Familiarity with CRM systems, quoting software (such as Salesforce CPQ or SAP), and proficiency in Excel are typically required. Strong attention to detail, negotiation skills, and effective communication help a Quote Manager build trust with clients and collaborate with internal teams. These skills ensure accurate, competitive quotes that support sales growth and customer satisfaction.

How does a quote manager collaborate with sales and procurement teams to ensure accurate and timely quotations?

A Quote Manager works closely with sales teams to understand customer requirements and ensure that all quotes are tailored to client needs and company capabilities. They also liaise with procurement to confirm pricing, availability, and lead times for products or services before finalizing quotes. This cross-departmental collaboration helps prevent errors, ensures competitive and accurate pricing, and streamlines the overall quoting process. Effective communication and strong organizational skills are essential for balancing the demands of both teams while meeting customer deadlines.

What is the difference between Quote Manager vs Estimator?

AspectQuote ManagerEstimator

Required SkillsStrong organizational, communication, and project management skillsAnalytical skills, attention to detail, and technical knowledge of costs
Work EnvironmentOffice-based, often collaborating with sales and project teamsOffice or on-site, working closely with engineering or production teams
Common UsageUsed in industries like construction, manufacturing, and salesPrimarily in construction, engineering, and manufacturing sectors

While both roles involve cost-related tasks, a Quote Manager focuses on managing the quoting process and client communication, whereas an Estimator specializes in detailed cost calculations and project pricing. Understanding these differences helps organizations assign the right responsibilities and find suitable candidates.

Job description

We’re seeking a relationship-driven Renewals Manager to oversee recurring service renewals for one of our clients.

This person will contact customers before their inspections and maintenance services become due, confirm pricing and scheduling details, and prepare each account for a smooth handoff to the scheduling team. They will also identify opportunities for additional services and help retain customers who may be considering other options.

This is a strong fit for someone who enjoys building customer relationships, managing a busy pipeline, and keeping important details organized.

What You’ll Do:
  • Manage upcoming annual and semiannual service renewals
  • Contact customers to confirm the correct people for scheduling, site access, and purchasing approval
  • Verify account information and resolve potential issues before services become due
  • Discuss renewal pricing and coordinate formal quote requests with sales leadership
  • Gather scheduling preferences, access instructions, and third-party coordination requirements
  • Identify opportunities for additional services or unserved customer locations
  • Give additional attention to high-value and compliance-sensitive accounts
  • Move qualified work orders into the “Ready to Schedule” stage
  • Maintain clear, accurate notes in Salesforce so scheduling can book services without unnecessary follow-up
  • Document why customers choose not to renew and help identify retention trends
  • Support reporting related to renewals, customer retention, and additional service opportunities
  • Approve renewal discounts within established guidelines and escape exceptions as needed
  • Help improve renewal rates, customer retention, and the overall quality of scheduling handoffs
What We’re Looking For:
  • 2+ years of experience in B2B account management, renewals, customer success, inside sales, or a related position
  • Strong phone and written communication skills
  • Ability to build meaningful customer relationships rather than simply completing transactional calls
  • Strong organization and follow-through when managing a high volume of accounts
  • Sound judgment when discussing pricing, discounts, and customer concerns
  • Comfort learning CRM, communication, and internal reporting systems
  • Salesforce experience is preferred
  • Proficiency with Microsoft 365, including Outlook, Teams, SharePoint, and OneDrive, is preferred
  • Experience in fire protection, life safety, facilities, construction services, or a related industry is helpful but not required

This is primarily an office-based position involving frequent customer calls, email communication, account research, and CRM activity. The role requires consistent attention to detail and regular use of computers, phones, and standard office technology.

Work generally involves low physical exertion and extended periods of focused computer- and phone-based activity. Reasonable accommodations may be provided to enable individuals with disabilities to perform the essential functions of the position.

  • $80,000–$90,000 annual salary DOE
  • Medical, dental, and vision insurance
  • 401(k) with company match
  • Generous paid time off and vacation benefits
  • Paid training and continued professional development
  • Supportive, family-oriented work environment
