Project Coordinator - Construction Procurement

Location: Gilbert, AZ 85233 | In-Office (location is on the border for Gilbert/Mesa)

Schedule: Monday - Friday | 7:00 AM - 4:00 PM


A growing commercial glass and glazing subcontractor is seeking a highly organized and proactive Project Coordinator to support purchasing, procurement, and project operations.


This role plays a critical part in keeping commercial construction projects moving by coordinating material purchasing, vendor communication, service scheduling, and installation logistics.


You'll work closely with estimators, project managers, suppliers, and field crews to ensure materials are ordered accurately, deliveries stay on schedule, and projects remain on track.


While you'll support estimating and operations, the primary focus of this position is procurement and material coordination.


The ideal candidate enjoys ordering materials, coordinating vendors, solving problems, and being the person who keeps projects organized from start to finish.


What You'll Do

  • Purchasing & Material Coordination (Primary Focus)
    • Create and process purchase orders for awarded projects
    • Order glass, aluminum framing systems, storefront components, door hardware, and related materials
    • Verify pricing, quantities, acknowledgments, and lead times
    • Track fabrication schedules and delivery dates
    • Coordinate backorders, damaged shipments, material shortages, and schedule changes
    • Maintain procurement logs and organized purchasing documentation
  • Vendor Coordination
    • Build strong relationships with suppliers and fabricators
    • Request pricing and track vendor quotes
    • Communicate delivery schedules and resolve purchasing issues
    • Ensure materials arrive when crews need them to keep projects on schedule
  • Project & Operations Coordination
    • Keep Project Managers informed of procurement status, delivery timelines, and potential impacts
    • Schedule service calls, warranty work, and repairs
    • Coordinate installation schedules with field crews and operations
    • Maintain project documentation and procurement records
    • Serve as a communication hub between vendors, field teams, and office staff
  • Estimating Support
    • Obtain supplier pricing for estimates
    • Track vendor quote requests and responses
    • Organize pricing documentation
    • Assist with scope verification and material confirmations

What We're Looking For

  • Required Qualifications
    • 2+ years of experience in construction administration, purchasing, procurement, project coordination, or scheduling
    • Experience ordering construction materials or industrial products
    • Experience creating purchase orders and tracking deliveries
    • Strong organizational skills with the ability to manage multiple active projects simultaneously
    • Excellent phone, email, and vendor communication skills
    • Proficiency with Microsoft Outlook, Excel, and Word
    • Ability to follow established processes while adapting to changing project priorities
  • Preferred Qualifications
    • Experience in commercial glass & glazing, storefront systems, curtain wall, doors & hardware, or related construction trades
    • Experience coordinating material deliveries and supporting installation schedules
    • Familiarity with construction plans, specifications, submittals, and industry terminology


Work Schedule: In-office, full time, Mon to Fri, 7AM-4PM (approx. 95% office / 5% jobsite or vendor as needed)
Compensation: $27 - $31/hour, competitive pay, based on experience
