Job description

Position Summary

We are seeking a detail-oriented and proactive Purchasing Assistant to join our team in Pomona, CA. This is a fully in-person position that supports the Purchasing Department with administrative, inventory, and vendor coordination functions. The ideal candidate is organized, dependable, able to prioritize tasks effectively, and works well in a fast-paced team environment.

The Purchasing Assistant will help maintain inventory control, process purchasing documentation, follow up with vendors, assist with office supply purchasing, and support communication between departments and locations.

Essential Duties & Responsibilities

  • Process receiving documents and purchasing paperwork
  • Perform clerical duties and data entry with accuracy
  • Create and process work orders and stock transfers
  • Monitor and follow up with vendors regarding orders and deliveries
  • Close out purchase orders (POs) in a timely manner
  • Review and manage sales order flags
  • Handle vendor returns and discrepancies
  • Assist in maintaining proper inventory levels
  • Purchase and maintain office supplies
  • Function as liaison support between management and various departments
  • Maintain organized and up-to-date purchasing records
  • Assist with general administrative duties for the Purchasing Department
  • Support special projects and additional assignments as directed by the Director of Purchasing
  • Problem-solve and prioritize workload effectively in a fast-paced environment
  • Work collaboratively as a team player across departments
  • Other duties as assigned

Qualifications

  • Previous administrative, purchasing, or inventory experience preferred
  • Strong data entry and organizational skills
  • Proficiency in Microsoft Office Suite, especially Excel and Outlook
  • Excellent communication and follow-up skills
  • Ability to multitask and prioritize responsibilities
  • Strong attention to detail and accuracy
  • Ability to lift light office or inventory-related materials as needed
