The role

We're looking for a Provider Operations Coordinator to take on the day-to-day execution that keeps our Provider Network Operations team running - from support inbox triage and provider onboarding to KPI monitoring, platform configuration and regulatory scans.

In this role, you'll be the first line of triage for the provider inbox and our provider communication channels - routing questions, resolving inquiries, and escalating as needed. You'll guide new providers through onboarding, back up mass communications and relationship management logistics, and support the team on meeting prep, data pulls, and platform configuration. This is a highly internally-focused role, spanning all three of our pillars (Provider Success, Provider Network Performance, and Provider Process Operations) and connecting team members working on shared tasks.

Your responsibilities

As a Provider Operations Coordinator, you will:

  • Triage the provider support inbox and Slack channel - routing inquiries to the right owner and responding directly as needed

  • Coordinate new providers through the onboarding process end-to-end

  • Support our provider quality and feedback loop - tracking themes by provider and delivering targeted education using pre-approved templates

  • Provide administrative support for mass provider communications, coordinating content drafting and shipping through HubSpot

  • Support weekly KPI monitoring across specialties and jurisdictions, presenting weekly KPIs to the provider team

  • Support the setup of new specialties on our platform, troubleshoot configuration issues, and manage the pool of providers for each specialty

  • Run the monthly regulatory scan - tracking changes to healthcare laws and regulations across the provinces and territories Maple operates in, so we stay compliant as the landscape shifts

What success looks like

In your first 90 days, you'll orient to the team, the platform, and our core tools (HubSpot, Intercom, and our internal admin platform) - building a working understanding of Maple's provider network and the three Provider Network Operations pillars. You'll build day-to-day working relationships with the provider team, key cross-functional partners, and providers themselves through inbox and onboarding interactions. You'll take ownership of triaging the provider inbox and Slack channels - learning who to route what to - and start supporting recurring work like weekly KPI pulls ahead of team huddles and the monthly regulatory scan.

Over your first 12-18 months, you'll deliver consistent, high-quality execution across our recurring operational scope. You'll maintain strong response and resolution times on the provider inbox, support the onboarding of new providers joining the network, and consistently deliver mass communications and admin support without details slipping. You'll become competent in specialty configuration on the backend, deliver reliable weekly KPIs and monthly regulatory scans, and start connecting dots across the three pillars - spotting where team members are working on shared tasks and facilitating collaboration.

What you bring
  • An undergraduate degree in business, commerce, health administration, communications, or a related field, plus 1-2 years of experience - including internships - in a coordinator, administrator, or operations support role

  • A high degree of organization - you can manage a high volume of manual admin tasks meticulously and keep multiple moving parts on track without letting things slip

  • A proactive, "over-communicative" internal communication style - you keep partners in the loop, flag issues early, and make it easy for the team to know where things stand

  • Strong written communication skills - you can respond to inbound inquiries clearly, warmly, and professionally

  • Strong prioritization skills - you can juggle inbox triage, onboarding queues, KPI pulls, and ad-hoc requests, and know when to escalate versus resolve

  • A collaborative, service-oriented mindset - you enjoy being the link between teams and workstreams
