We are seeking a permanent, full time Operations Manager to play a key leadership role supporting our operations teams. This is an opportunity to lead and shape a high performing operations function at a growing private wealth firm, with real impact on both the advisor and client experience.
As Operations Manager, you will lead the day to day operational and administrative activities of the business, overseeing workflows, trading support, compliance administration, and continuous improvement initiatives. This role is based in Toronto, ON, offering flexibility through a hybrid remote setting.
You will be responsible for:
 
  • Working collaboratively with Senior management to support the business planning process;
  • Leading and developing the operations team, providing clear direction, coaching, and performance management to support a high quality client and advisor experience.
  • Responsible for the KPI definitions/targets (SLA, quality, throughput) and performance management of the Operations Processing team
  • Providing firm wide training and support to personnel on operational tasks and inquiries as needed
  • Assist the Senior Manager with organization, presentation of Monthly Associates Forums
  • Collaborate with internal support teams for ongoing procedural updates and efficiencies
  • Leading continuous improvement initiatives to enhance efficiency, controls, scalability, and service quality across operations.
  • Collaborating closely with portfolio managers, estate planning consultants, compliance, and other internal partners to support business objectives.
  • Participate in staff planning for continuous improvement and scalability
  • Leading a second level of escalation support alongside the Supervisor for Operational issues
  • Work collaboratively with Operations staff and lead the development of training materials, processes and guides for Operations and ensure updates are completed as required
  • Liaison to our custodian (NBIN) on trends, escalations, improvements as needed
  • Provide support and over see MAKO dashboards to ensure SLA are in progress
  • Continue to develop and evolve the training experience and documentation within Operations Processing

The ideal candidate for this position has:
 
  • Proven leadership experience building, coaching, and developing high‑ performing operations teams within a private wealth or financial services environment.
  • Strong organizational and prioritization skills, with the ability to manage multiple workflows, deadlines, and competing priorities effectively.
  • Demonstrated experience monitoring, measuring, and reporting on operational performance using key performance indicators (KPIs) to drive accountability, continuous improvement, and service quality.
  • A client centric mindset, with a clear understanding of how operational accuracy, timeliness, and consistency impact the advisor and client experience.
  • Experience leading and supporting change initiatives, including process improvements, system enhancements, and evolving business requirements, while maintaining team engagement and service standards.
  • Strong analytical and problem-solving skills, with a proactive, solutions oriented approach to identifying root causes and implementing sustainable improvements.
  • Advanced proficiency with Microsoft Office and experience working with investment operations platforms, with the ability to take ownership of workflows and systems rather than simply execute tasks.
  • Excellent written and verbal communication skills, with the ability to convey complex operational concepts clearly to advisors, internal partners, and senior leadership.
  • Demonstrated ability to work collaboratively across functions while exercising sound judgment and independence in decision making.

Salary Range: $80,000 - $95,000 per annum (actual salary offered will be commensurate with education, experience, and internal parity).
