Coordinator, Graduate Programs in Education
Position Summary
The Coordinator for the Graduate Programs in Education provides essential support by coordinating M.ED. and Ed.D. student services, including student advising, budgeting, student scholarships, special events, and recruitment, and by serving as coordinator of both graduate advisory committees. Further, this position provides administrative support to both the Director of the Doctoral Program (Ed.D.) and the Director of the Master of Education Program.
Essential Duties and Responsibilities
Program Management/Student Services
  • Coordinates admission activities, including applicant contacts, maintenance of applicant records, and notification of admission status to students. (MED/ED)
  • Liason between the ED program and a third-party marketing/recruiting and student support company (All Campus).
  • Responds to prospective student inquiries regarding program requirements, timelines, and course sequencing. (MED/ED)
  • Disseminates degree plans to students. (MED/ED)
  • Assists applicants with navigating application materials and university systems. (MED/ED)
  • Supports newly admitted students with onboarding, registration, and orientation-related questions. (MED)
  • Registers students for the orientation and monitors their completion (MED)
  • Monitors student progress to ensure timely completion of milestones. (MED
  • Troubleshoots issues related to registration errors, holds, course availability, and policy interpretation. (MED/ED)
  • Serves as a liaison between students and faculty when concerns arise (MED/ED)
  • Maintains accurate student records and tracking documents. (MED/ED)
  • Coordinates with the Certification Officer to ensure compliance with university, state, and accreditation requirements. (MED/ED)
  • Verifies graduation eligibility and coordinates graduation applications (MED/ED)
  • Maintains dissertation committee records. (ED)
  • Prepares students for graduation, including performing degree audits and creating graduation packets. (MED/ED)
  • Assists students with ProQuest submissions. (MED/ED)
  • Develops and maintains social media presence through Facebook, Instagram, and other platforms, as needed. (MED/ED)
  • Responsible for the creation and dissemination of graduate-level newsletters. (MED/ED)
  • Responsible for tracking student post-graduation employment and activities. (MED/ED)
  • Maintains all student-related databases and files. (MED/ED)

Budget Management (MED/ED)
  • Monitors and maintains budget (reconciliation, requisitions, purchase orders, encumbrances).
  • Provides periodical budget updates to both Directors.
  • Facilitates faculty reimbursement (conference/travel/other)

Special Events (MED/ED)
  • Responsible for planning and coordinating events (catering, room reservations, invitations, décor, follow-up, & Medallion Ceremony).
  • Registers and tracks Master-Level New Student Orientation.

Graduate Advisory Committees (MED/ED)
  • Creates, maintains, and disseminates 2-year calendars.
  • Responsible for minutes for all meetings.
  • Synthesizes and reports yearly actions and motions.

Performs other duties of a similar nature or level.
Education, Certifications and/or Licenses
Bachelor's Degree.
Experience
A minimum of 5 years' successful management/coordination experience.
