Proposal writers compose documents to gain support for a project, enter into a business agreement, or convince clients to buy products and services. To complete the proposal, they usually work with a team to research a specific issue, conduct interviews, collect information, and organize the data before submitting the application or sending the contract to a client. Proposal writers may work for non-profit organizations or private companies, or they may be freelancers who work for many different businesses. Some proposal writers specialize in a specific industry, such as grant writing for non-profit organizations.

What does a proposal writer do?

A Proposal Writer is responsible for creating documents that outline a company's products, services, or solutions in response to requests from clients or potential customers. Their main goal is to craft persuasive and clear proposals that showcase the value and benefits of their organization’s offerings, usually to secure new business or funding. Effective communication and strong organizational skills are crucial to managing multiple contributors, meeting tight deadlines, and producing high-quality submissions. This teamwork helps ensure that the proposal aligns with both client expectations and company objectives.

Are proposal writers in demand?

Join Elior North America and play a vital role in driving our growth through strategic, high-impact proposals. As a Proposal Writer, you’ll collaborate with Business Development Directors (BDDs) and cross-functional partners to craft compelling, compliant, and visually engaging responses to Requests for Proposals (RFPs) across all market segments.
You’ll bring creativity, organization, and strategic thinking to every stage of the proposal process — from planning and writing to design and final delivery. In this role, you will manage multiple projects simultaneously, coordinate diverse contributors, and ensure that every proposal reflects our brand, capabilities, and vision with clarity and precision.
Reporting to the Proposal Segment Lead, you will directly contribute to the company’s growth strategy by delivering high-quality proposals that help us win new business and strengthen client partnerships.

What You’ll Be Doing: Proposal Development & Strategy
  • Partner with BDDs to develop clear, concise, and compliant RFP responses tailored to client needs.
  • Lead the development of non-RFP proposal materials, leveraging templates, existing content, and repository resources.
  • Manage multiple proposal projects simultaneously, balancing shifting priorities and tight deadlines.
Content Creation & Quality Assurance
  • Write, edit, and refine proposal content to ensure clarity, consistency, and alignment with brand voice and messaging.
  • Ensure all deliverables meet the highest quality standards in grammar, punctuation, readability, and tone.
  • Suggest new approaches and enhancements to improve proposal storytelling, structure, and effectiveness.
Design & Presentation
  • Use Adobe InDesign to create visually engaging proposal documents within standardized brand templates.
  • Ensure proposals maintain brand consistency in graphics, layout, typography, and design elements.
  • Organize and maintain a comprehensive library of proposal assets, including photos, templates, and supporting materials.
Collaboration & Stakeholder Coordination
  • Act as a central point of contact for proposal contributors, coordinating input from cross-functional teams.
  • Communicate progress and updates clearly throughout the proposal lifecycle to ensure alignment and transparency.
  • Provide guidance and expertise to internal partners, serving as a resource for proposal best practices.
Process Improvement & Continuous Growth
  • Contribute to ongoing improvements in proposal development workflows, tools, and templates.
  • Explore opportunities to enhance visual presentation, streamline content creation, and strengthen proposal win strategies.
What We’re Looking For: Required Qualifications
  • Bachelor’s Degree in Marketing, Business Management, General Business, or a related field.
  • 4+ years of professional experience in proposal development, marketing, or business development support.
  • Exceptional written and verbal communication skills with a keen eye for detail.
  • Strong project coordination skills with the ability to manage competing priorities and deadlines.
  • Proficiency in Adobe Creative Suite, especially InDesign, and Microsoft Office (Word, Teams, SharePoint).
  • Proven ability to collaborate across decentralized, cross-functional teams.
Preferred Qualifications
  • Experience in the foodservice, hospitality, or facilities management industries.
  • Familiarity with APMP best practices or similar proposal management methodologies.
  • Strong conceptual design skills with a high-level understanding of layout and typography principles.
