Job Description

We are seeking a Senior Proposal Writer in New York, NY to join our national proposals team. This is a full-time role with the expectation that a minimum of 4 days per week are in-office, with up to one day per week remote.

This role will be integral to supporting SOCOTEC’s specialized building envelope, sustainability, energy efficiency, code advisory, commissioning and fire/life safety practices, with a specific focus on:

  • Developing proposals for public-sector and municipal clients
  • Strengthening SOCOTEC’s relationships with local towns, agencies, and institutions throughout New York
  • Serving as an in-office resource for multiple service line leaders

The Senior Proposal Writer will develop and coordinate request for proposal response packages in InDesign, proposal documents, and estimates under the direction of the Proposal Team Manager. Responsibilities include, but are not limited to:

  • Participate in daily team scrum to review proposal priorities and progress. 
  • Review assigned qualification and proposal requests, assess requirements, and identify appropriate service line leaders to provide input on scope and fees.
  • Develop technical proposals and qualifications packages tailored to public-sector procurement requirements and local client expectations.
  • Conduct research, gather information, and attend meetings with service line leaders to ensure proposals reflect SOCOTEC’s expertise and competitive advantages.
  • Maintain familiarity with regional procurement practices (towns, state agencies, and institutions) to strengthen responsiveness and positioning.
  • Review proposals and estimates with technical team leaders; update according to their input and ensure compliance with client requirements.
  • Collaborate with internal Legal and Finance teams to produce complete packages.
  • Provide quality control review of proposals prepared by other team members to ensure accuracy, compliance, and on-time delivery.
  • Serve as a liaison with local clients and prospects to obtain clarifications, confirm proposal receipt, and support relationship-building efforts.
  • Collect, enter, and maintain client and project data in our CRM platform (Deltek).
  • Coordinate with the Proposal Team Manager to refine templates, narratives, and graphics based on client needs and regional feedback.
Qualifications
  • Minimum of 3 to 5 years of experience in proposal writing, estimating, and qualifications preparation, preferably within an architecture, engineering, or consulting firm with public-sector experience.
  • Established knowledge of New York municipalities, state agencies, and public-sector procurement processes strongly preferred.
  • Exceptional organizational and written communication skills, with a focus on accuracy, compliance, and attention to detail.
  • Ability to manage competing deadlines while juggling multiple proposals.
  • Comfortable collaborating in-office with technical leaders across multiple disciplines.
  • Bachelor’s degree required; experience in architecture, engineering, or related field desirable.
  • Proficient in Adobe Creative Suite (especially Adobe InDesign) and Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Experience with Deltek Vantagepoint desirable.
